Job Description

Description

The primary objective of the Lien Filing team is to minimize risk and controllable loss to KeyBank by serving as the internal control point over securing the bank's interest in loan collateral.
The Lien Filing Specialists are responsible for all tasks associated with preparing and filing loan collateral documents in accordance with department procedures and State / County requirements. Including, but not limited to:

  • Responsible for supporting multiple servicing teams and portfolios consisting of a variety of products.
  • Primary servicing functions include support for non-owner occupied construction/interim loan servicing, lines of credit, portfolio/system/collateral administration, building and tracking document exceptions, managing expiring UCCs and related client services.
  • Provide excellent communication with the Service Officers, Closers, internal and external clients as well as lending staff and business partners.
  • Responsibility for reviewing loan and collateral documentation needed to secure KeyBank's security interest
  • Generate reports, review, and distribute as appropriate
  • Proven ability to prioritize and handle multiple tasks in a fast paced, high-volume environment
  • Provides backup for all aspects of servicing for team members
  • Clearly and immediately communicates problems/issues to Manager and/or Relationship Manager
  • Monitoring incoming New Loan, Modification and Document Management Requests, including timely maintaining of the documentation/loan status log
  • Responsible for tracking the receipt of required legal documents from loan closings and modifications
  • Entering doc tracking and clearing Document Exceptions from the system of record
  • Responsible for loading and updating information and continued monitoring regarding UCC's in CLS to maintain KeyBank's lien position
  • Provide assistance and expert guidance to RM/RO, Closer and Servicing Officers in post-closing follow-up for missing or incomplete legal documents
  • Provide support and assistance with departmental projects as needed

Required Qualifications: (License, Certificates, Education, Skills, etc.)

  • 2-year College Degree or equivalent real estate business experience
  • Knowledge of commercial loan documentation and collateral
  • Strong solution-oriented and problem-solving skills
  • Detail-oriented
  • Strong written and verbal communication skills
  • Proven ability to handle multiple tasks in a high-volume environment
  • Ability to read and interpret complex legal documents
  • Demonstrated ability to independently perform complex research tasks
  • PC proficiency including familiarity with Microsoft Excel and Word

Preferred Qualifications:

  • Knowledge of loan systems (preferably CLS and Loan IQ) and deposit systems
  • Prior collateral processing, loan records or underwriting experience

Training Provided:

  • Bank systems, written procedures and on the job training with a subject matter expert
