Job Summary

The People & Culture Coordinator supports the daily administration and coordination of all People & Culture functions while ensuring compliance with Accor standards local labor regulations and hotel policies. The role is responsible for providing administrative support in recruitment onboarding training employee engagement payroll administration HR systems and maintaining accurate employee records to deliver an exceptional Heartist experience throughout the employee lifecycle.

 

Key Responsibilities

1. Recruitment & Onboarding

  • Coordinate recruitment activities including posting vacancies screening applications scheduling interviews and preparing interview documentation.
  • Prepare employment contracts new hire documentation and onboarding packages.
  • Coordinate hotel orientation (Heartist Induction) for new employees.
  • Ensure all onboarding documents are complete and filed appropriately.
  • Support internship and trainee recruitment programs.

2. P&C Administration

  • Maintain accurate employee personnel files in compliance with Accor standards.
  • Update employee information in HRIS and People systems.
  • Prepare P&C letters including:
    • Employment certificates
    • Confirmation letters
    • Promotion letters
    • Transfer letters
    • Warning letters
    • Other employment-related documents
  • Monitor contract expiry dates and probation evaluations.
  • Ensure confidentiality of employee information.

3. Payroll & Benefits Support

  • Coordinate monthly attendance and leave records.
  • Verify payroll-related documentation.
  • Assist in employee benefits administration.
  • Support insurance enrolment and employee claims.
  • Coordinate employee uniforms and lockers where applicable.

4. Learning & Development

  • Coordinate training schedules and training calendars.
  • Maintain training attendance records.
  • Monitor completion of mandatory Accor learning modules (HERO Typsy Academy etc.).
  • Prepare training reports and monthly training hours.
  • Support internal trainers during training sessions.
  • Coordinate certifications and development programs.

5. Employee Engagement

  • Assist in organizing Heartist activities such as:
    • Heartist Celebration
    • Birthday Celebrations
    • Recognition Programs
    • CSR Activities
    • Sustainability Initiatives
    • Wellbeing Programs
  • Support Employee Engagement Survey initiatives.
  • Coordinate internal communication related to People & Culture activities.

6. Performance & Talent Management

  • Assist employees and managers in using the Heartist Portal.
  • Coordinate performance review timelines.
  • Support Talent Review processes.
  • Monitor completion of PDP (Personal Development Plans).
  • Maintain performance management documentation.

7. Compliance

  • Ensure compliance with:
    • Indonesian Labour Law
    • Accor Policies & Procedures
    • Hotel policies
    • Data privacy and confidentiality requirements
  • Support HR audits and maintain compliance documentation.

8. Reporting

  • Prepare weekly and monthly P&C reports.
  • Maintain records for:
    • Headcount
    • Turnover
    • Recruitment
    • Training Hours
    • Leave Balance
    • Overtime
    • Employee Movements
  • Update HR dashboards and People & Culture metrics.

9. Employee Relations

  • Serve as the first point of contact for employee inquiries.
  • Assist in resolving employee concerns professionally.
  • Support disciplinary and grievance administration.
  • Promote Accors Heartist culture and values.

10. General Administration

  • Manage office supplies for the People & Culture department.
  • Coordinate meetings and prepare meeting minutes.
  • Maintain filing systems (electronic and physical).
  • Support departmental projects and hotel events.
  • Perform other duties assigned by the People & Culture Manager.

Qualifications :

  • Diploma or Bachelors Degree in Human Resources Psychology Business Administration Hospitality Management or a related field.
  • Minimum 12 years of HR experience preferably in the hospitality industry.
  • Fresh graduates with relevant internship experience may also be considered.
