Job Summary
- TheSenior Manager - Administration - is responsible for providing support to the administrative department and ensuring efficient operations across all office functions. This position involves overseeing daily office activities coordinating administrative tasks managing office resources and assisting in implementing company policies. The Senior Manager works closely with various departments to support their administrative needs and help maintain a smooth workflow.
Essential Functions and Tasks
Office Management:
- Oversee the day-to-day operations of the office ensuring a smooth workflow.
- Supervise office support staff including administrators receptionists and other administrative personnel.
- Maintain a well-organized office environment including managing office supplies equipment and space.
Administrative Support:
- Assist in preparing reports presentations and documents as required by the management.
- Coordinate internal and external communications (e.g. emails memos reports).
- Help in organizing and scheduling meetings appointments and events.
- Support department heads with administrative tasks such as data entry filing and documentation management.
Policy & Procedure Implementation:
- Ensure that company policies procedures and standards are adhered to in the daily operations.
- Assist in developing and implementing new administrative systems and processes for improved efficiency
Budgeting & Finance:
- Assist with tracking office expenses and budgeting for office supplies equipment and services.
- Prepare expense reports and provide data to the finance team for billing and reconciliation purposes.
- Coordinate with vendors and service providers for the procurement of office supplies and services.
Project Coordination:
- Support special administrative projects by managing timelines coordinating teams and ensuring deliverables are met.
- Ensure timely submission of reports deliverables and meeting deadlines for ongoing projects.
Customer Service:
- Address and resolve any office-related issues or inquiries from employees visitors and vendors.
- Ensure that front-desk operations are handled effectively and professionally.
- Foster a positive efficient work environment for all office staff.
Education and Experience Requirements
- Bachelors degree in business administration Office Management or related field (or equivalent experience).
- Minimum of 6 years in an administrative role with at least 2 years in a supervisory or assistant managerial capacity.
Knowledge Skills and Abilities
- Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills.
- Proficient in office software (e.g. MS Office Google Workspace).
- Ability to work independently and as part of a team.
- Problem-solving and decision-making skills.
- Knowledge of office management systems and procedures.
Compensation
- Base Compensation will be based on various factors unique to each candidate including geographic location skill set experience qualifications and other job-related reasons.
- This position is also eligible for a discretionary incentive bonus in accordance with company policies.
