PositionSummary
The Faculty Manager (ExecutiveOperations & Office of the Rector) is a senior professional leadershiprole responsible for supporting the Rector and leading the Facultysadministrative operational governance and strategic functions. Acting as theRectors principal professional staff partner the Faculty Manager providesexecutive support while ensuring the efficient delivery of faculty operationsacademic administration financial management research administration andstakeholder engagement.
As a founding leadership position for theUNSW Bengaluru Campus the Faculty Manager serves as the central coordinationpoint for the Office of the Rector translating strategic priorities intooperational outcomes. The role works closely with academic leadersprofessional services and UNSW Sydney to establish robust administrativesystems ensure regulatory compliance support academic excellence and enablefaculty members to focus on teaching research and engagement.

KeyResponsibilities
ExecutiveSupport to the Rector
- Serve as the Rectors principal administrative and operational partner and trusted adviser.
- Manage the Rectors executive calendar competing priorities meetings travel and executive commitments.
- Prepare executive correspondence Board papers committee papers presentations reports and strategic briefings.
- Coordinate strategic initiatives and ensure timely follow-up of decisions action items and institutional priorities.
- Support the Rector in implementing strategic plans and monitoring progress against faculty and campus objectives.
- Coordinate executive travel official visits institutional events and senior stakeholder engagements.
- Manage confidential information with professionalism discretion and sound judgement.
- Act as the primary point of contact for administrative matters relating to the Office of the Rector.
FacultyOperations
- Lead and oversee all faculty administrative and operational services.
- Develop implement and continuously improve administrative systems policies workflows and standard operating procedures.
- Coordinate faculty-wide operational planning to ensure efficient academic and administrative delivery.
- Act as the primary administrative liaison for academic staff and professional service teams.
- Oversee office administration procurement resource allocation and operational support services.
- Monitor operational performance and recommend process improvements to enhance efficiency and service excellence.
- Support the establishment and continuous improvement of faculty operational processes.
AcademicPlanning
- Coordinate workforce planning recruitment support and faculty staffing plans.
- Lead academic timetabling teaching allocations and scheduling activities.
- Support workload planning and faculty establishment planning.
- Coordinate onboarding and induction of new academic staff.
- Collaborate with academic leaders to support curriculum implementation and teaching delivery.
- Ensure effective coordination of academic administrative activities across the Faculty.
- Support academic planning initiatives aligned with UNSW academic standards.
FinancialManagement
- Develop monitor and manage faculty operating and research budgets.
- Prepare financial forecasts business cases management reports and budget analyses.
- Monitor expenditure procurement activities and financial compliance.
- Track budget utilisation and recommend resource optimisation strategies.
- Support financial planning aligned with faculty and university strategic objectives.
- Ensure compliance with university financial policies and procedures.
GovernanceAccreditation & Quality Assurance
- Coordinate Faculty Academic Board meetings and governance committees.
- Maintain documentation supporting accreditation quality assurance and regulatory compliance.
- Ensure records are maintained for audits approvals institutional reporting and policy implementation.
- Support accreditation exercises and submissions to regulatory authorities.
- Ensure compliance with University policies UGC regulations and statutory requirements.
- Contribute to continuous improvement of governance frameworks and operational quality.
ResearchAdministration
- Coordinate faculty research administration including grant management and research budgets.
- Support internal research funding processes ethics administration and grant reporting.
- Assist faculty members with grant applications and post-award administration.
- Coordinate visiting academics research collaborations and institutional research initiatives.
- Maintain research performance records and support institutional reporting.
- Ensure compliance with university research policies and funding requirements.
StakeholderManagement
- Build and maintain effective relationships with HR Finance IT Student Services Marketing and UNSW Sydney.
- Facilitate communication between academic staff and professional service teams.
- Coordinate cross-functional initiatives supporting faculty and campus priorities.
- Develop productive relationships with industry government accreditation agencies and external partners.
- Represent the Faculty in internal committees meetings and institutional projects.
- Ensure effective communication across the Faculty and university.
PeopleLeadership
- Lead mentor and develop faculty administrative and professional staff.
- Foster a culture of collaboration accountability service excellence and continuous improvement.
- Set performance objectives monitor outcomes and support staff capability development.
- Promote inclusive workplace practices aligned with UNSW values.
- Lead operational change initiatives and continuous improvement programs.
- Encourage innovation teamwork and high-performance standards across faculty administration.
Qualifications& Selection Criteria
- Bachelors degree in Business Administration Management Higher Education Administration Public Administration or a related discipline. A postgraduate qualification is highly desirable.
- Extensive experience supporting senior executives within higher education or similarly complex organisations.
- Demonstrated experience in faculty operations governance budgeting workforce planning academic timetabling staffing and accreditation.
- Strong knowledge of higher education governance quality assurance and regulatory compliance.
- Experience in research administration grant management financial planning and budget administration.
- Proven ability to lead administrative teams and manage multiple strategic priorities simultaneously.
- Excellent organisational analytical communication interpersonal and stakeholder management skills.
- Demonstrated ability to exercise initiative independent judgement and discretion while managing confidential matters.
- Experience in Australian higher education and/or transnational education environments will be highly desirable.
- Strong proficiency in Microsoft Office enterprise systems and higher education administration platforms.
