Job Summary
Key Responsibility
1. Facility Management
- Oversee the day-to-day operations of the facility including building maintenance electrical systems HVAC fire safety housekeeping and security.
- Ensure all facility operations comply with applicable statutory safety and regulatory requirements.
- Plan and monitor preventive maintenance activities and ensure timely closure of facility-related issues.
- Coordinate with landlords property management teams and external service providers for all facility-related requirements.
2. Vendor Management
- Identify evaluate onboard and manage vendors supporting facilities security housekeeping transportation and other GA services.
- Negotiate commercial terms and contracts manage SLAs and drive cost efficiency while maintaining service quality.
- Monitor vendor performance through regular reviews and ensure compliance with contractual obligations service standards and applicable policies.
3. Business Continuity Planning (BCP) & Crisis Management
- Develop implement and regularly update the GCC Business Continuity Plan in line with organizational and regulatory requirements.
- Establish and coordinate the Crisis Management Team (CMT) including clearly defined roles responsibilities escalation procedures and communication protocols.
- Conduct periodic BCP assessments simulations and tabletop exercises to strengthen organizational preparedness.
- Assess operational risks identify critical dependencies and implement appropriate mitigation and contingency measures.
4. Emergency Preparedness & Safety Management
- Develop and maintain emergency evacuation procedures zone-specific evacuation plans and emergency communication processes.
- Ensure comprehensive safety compliance across the GCC premises including:
- Fire safety systems inspections and certifications
- Emergency exits safety signage and designated assembly points
- Availability of first-aid facilities and overall emergency response preparedness
- Plan and conduct evacuation drills safety training and employee awareness initiatives.
- Coordinate with local authorities fire and emergency services and safety auditors whenever required.
5. Event Management
- Plan coordinate and execute corporate events business meetings training programs and employee engagement initiatives.
- Manage event logistics including vendor coordination catering venue arrangements and other supporting services.
- Ensure all events are delivered within approved timelines and budgets while meeting organizational standards and expectations.
6. Expense & Budget Management
- Monitor and control GA-related expenses covering facilities vendors events and administrative activities.
- Prepare expense reports and contribute to annual budgeting forecasting and financial planning activities.
- Ensure invoices and payments are processed accurately and within defined timelines.
- Identify opportunities to reduce costs improve processes and enhance operational efficiency across GA activities.
7. Team Guidance & Coaching
- Provide guidance support and coaching to team members and vendor personnel to ensure timely delivery and adherence to expected quality standards.
- Promote accountability service excellence and continuous improvement within the team.
8. Additional Responsibilities
- Take on additional responsibilities projects and tasks as assigned by the Head of General Administration (GA).
- Demonstrate flexibility and willingness to support evolving business and operational requirements.
