ISS STOXX is growing! We are seeking an experienced Facilities & Corporate Services Analyst to join our Corporate Services team in Mumbai.

Overview:

The role purpose is to ensure smooth day-to-day administrative operations of the office by managing facilities vendor coordination employee services and compliance requirements while supporting business continuity and workplace efficiency.

Responsibilities:

1. Office Administration & Operations

  • Manage day-to-day office operations and ensure a well-maintained workplace

  • Oversee housekeeping pantry security and front office services

  • Monitor office consumables stationery and asset inventory

  • Ensure workplace hygiene safety and professional standards

2. Vendor Management

  • Coordinate with facility vendors (housekeeping security AMC providers etc.)

  • Track vendor performance against SLAs/KPIs

  • Process invoices maintain records and ensure timely payments

  • Support vendor onboarding and contract documentation

3. Facilities Coordination

  • Assist in maintenance activities including electrical HVAC plumbing and civil work

  • Raise service requests and follow up for timely closure

  • Maintain logs for equipment repairs and preventive maintenance schedules

4. Employee Services & Support

  • Address employee queries related to admin/facilities services

  • Support seating arrangements workstation readiness and office moves

  • Coordinate travel desk courier services and meeting room bookings

5. Compliance & Documentation

  • Maintain statutory and compliance records (as applicable)

  • Support audit readiness (EHS internal audits etc.)

  • Ensure adherence to company policies health & safety standards

6. Event & Logistics Coordination

  • Assist in organizing internal events meetings and conferences

  • Coordinate logistics vendor arrangements and budgets for events

7. MIS & Reporting

  • Maintain reports on admin expenses vendor performance and asset tracking

  • Track budgets and highlight variances

  • Prepare periodic dashboards for management review

Key Skills & Competencies

  • Strong coordination and multitasking abilities

  • Vendor management and negotiation skills

  • Good communication and interpersonal skills

  • Basic knowledge of facilities management practices

  • Attention to detail and problem-solving mindset

  • Proficiency in MS Office (Excel Word PowerPoint)

Qualifications:

Education:

  • Graduate in any discipline (preferred: Administration / Management / Commerce)

  • Additional certification in Facilities Management (optional advantage)


Experience:

  • 25 years in administration / facilities / corporate services

  • Experience in corporate office environments preferred (IT BFSI GCC etc.)
