Corporate Travel & Office Administration Executive
Job Summary
We are seeking a proactive detail-oriented and highly organized Travel & Office Administration Executive with 3-4 years of experience. The ideal candidate must have hands-on experience in end-to-end corporate travel bookings preferably from the travel & tourism industry corporate travel desk or a travel management company. This role requires excellent coordination skills flexibility and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
Travel Management
- Coordinate and manage end-to-end travel arrangements for employees including flight bookings hotel accommodations ground transportation and visa processing.
- Process travel requests and approvals through the companys travel management system.
- Monitor and manage travel expenses in line with company policies and cost guidelines.
- Build and maintain strong relationships with travel agencies airlines hotels car rental companies and other travel vendors to ensure quality service and competitive pricing.
- Provide timely support for travel changes cancellations emergencies and disruptions including outside regular business hours and weekends when required.
- Prepare and maintain travel expense reports travel records and sustainability reports.
Administration & Operations
- Oversee day-to-day office administration to ensure office facilities maintenance and general operations run efficiently.
- Monitor daily administrative activities to ensure quality standards and company procedures are consistently followed.
- Coordinate with internal departments and employees to support travel transportation and operational requirements.
- Raise Purchase Requisition (PR) requests for procurement with the required approvals.
Fleet & Facility Management
- Manage company-owned and leased vehicle records inventories and related documentation.
- Coordinate fleet administration including vehicle allocation and record maintenance.
- Process approvals for fuel chip installations transfers and cancellations for company-owned and leased vehicles.
- Assist with office lease management including new leases renewals and coordination of move-in and move-out activities.
Qualifications :
- Bachelors degree in any discipline.
- 3-4 years of relevant work experience.
- Mandatory experience in end-to-end travel booking and coordination (flights hotels transportation and visa processing).
- Experience in corporate travel desk is be highly preferred.
- Office Administration experience is needed
- Strong vendor management and stakeholder coordination skills.
- Excellent communication organizational and problem-solving abilities.
- Ability to manage multiple priorities while maintaining accuracy and attention to detail.
- Good knowledge of Microsoft Office applications.
- Flexible to support urgent travel requirements outside normal working hours including weekends when required.
- A proactive customer-focused attitude with the ability to work independently in a fast-paced environment.
