Job Summary

This is a remote position.

The Business Process Specialist is responsible for architecting and building Pipeline Medicals document control system from the ground up. This individual contributor role requires close collaboration with every department conducting interviews with team members across the company to capture job functions then transforming that knowledge into clear work instructions process flows forms and charts. Once the system is ready this person will lead the initial company-wide training and drive 100% adoption across all departments and levels of the organization.

  • Schedule and conduct interviews with all members of each department to understand job functions and workflows

  • Write draft work instructions job descriptions and quality system processes based on those interviews

  • Compose editable forms and reusable templates for use across all departments

  • Develop a document numbering system and version-control mechanism to ensure all documents remain current and auditable

  • Convert complex technical documents and processes into easy-to-understand workflows and visual guides

  • Architect and design the overall document control system structure covering work instructions process flows forms and charts

  • Lead the initial company-wide release training and rollout of the document control system

  • Support all departments and staff levels to achieve 100% adoption of the new system

  • Serve as the ongoing point of contact for document control questions and continuous improvements



Requirements
  • Prior experience in quality control regulatory affairs or ISO compliance is required

  • Strong attention to detail

  • Excellent organizational capabilities

  • Self-motivated and a self-starter able to manage projects independently with minimal supervision

  • Advanced proficiency with Microsoft Office Suite (Word Excel PowerPoint)

  • Ability to learn new software and computer programs quickly

  • Must be fluent in English (written and verbal)

  • Reliable high-speed internet connection required



Required Skills:

Bookkeeping or accounting certification is an advantage (e.g. QuickBooks AAT or equivalent) Minimum of 24 years of experience in a finance administration bookkeeping or accounting support role Strong Microsoft Excel skills including pivot tables VLOOKUP and data formatting Experience with business intelligence tools such as Power BI or Tableau Exceptional attention to detail and accuracy in a high-volume transaction environment High attention to detail and accuracy in processing large volumes of financial transactions Ability to manage multiple deadlines and thrive in a structured remote work environment.
