Job Summary
Key Responsibilities
1. Facility Management
- Oversee the daily operations and maintenance of office facilities including building infrastructure electrical systems HVAC fire safety systems housekeeping and security services.
- Ensure compliance with all applicable statutory regulatory health safety and environmental requirements related to workplace facilities.
- Plan and coordinate preventive maintenance activities while ensuring prompt resolution of facility-related issues.
- Collaborate with landlords property management teams and external service providers to address facility management requirements.
2. Vendor Management
- Source evaluate onboard and manage vendors providing facility management housekeeping security transportation and other General Administration (GA) services.
- Negotiate contracts manage service level agreements (SLAs) and optimize costs while maintaining high service standards.
- Monitor vendor performance through regular reviews to ensure compliance with contractual obligations quality standards and regulatory requirements.
3. Business Continuity Planning (BCP) & Crisis Management
- Develop implement and maintain the Business Continuity Plan (BCP) for the GCC in accordance with organizational objectives and regulatory guidelines.
- Establish and manage the Crisis Management Team (CMT) including defining roles escalation procedures and communication protocols.
- Conduct periodic BCP reviews simulation exercises and tabletop drills to assess and enhance organizational preparedness.
- Identify operational risks critical dependencies and potential disruptions and implement appropriate mitigation strategies.
4. Emergency Preparedness & Safety Management
- Develop maintain and regularly update emergency evacuation procedures zone-specific evacuation plans and emergency communication protocols.
- Ensure full compliance with workplace safety requirements including:
- Fire protection systems and statutory certifications
- Emergency exits safety signage and assembly points
- Availability of first-aid kits and emergency response preparedness
- Plan and conduct evacuation drills safety training and employee awareness programs.
- Coordinate with local authorities fire departments and safety auditors to ensure ongoing compliance and emergency readiness.
5. Event Management
- Plan coordinate and execute corporate events business meetings training programs and employee engagement initiatives.
- Manage event logistics by coordinating with vendors for venue arrangements catering transportation and other support services.
- Ensure successful event execution within approved timelines budgets and organizational quality standards.
6. Expense & Budget Management
- Monitor and control General Administration expenses related to facilities vendors events and administrative operations.
- Prepare expense reports assist in budget planning and forecasting and ensure timely processing of invoices and vendor payments.
- Identify opportunities for cost optimization and implement process improvements to enhance operational efficiency.
7. Team Guidance & Development
- Provide guidance coaching and support to team members and vendor personnel to ensure timely delivery of high-quality services and operational excellence.
8. Additional Responsibilities
- Undertake additional duties and responsibilities as assigned by the Head of General Administration to support business and operational requirements.
