Payroll and Personnel Specialist
Job Summary
- Process bi-weekly or monthly payroll for all employees ensuring accuracy and compliance with tax regulations and company policies.
- Verify timekeeping records overtime calculations and leave balances to ensure payroll accuracy.
- Administer employee benefits enrollment changes and terminations in coordination with HR and benefits providers.
- Maintain confidential employee records in compliance with data privacy standards and HRIS protocols.
- Respond to employee inquiries regarding paychecks deductions benefits and payroll discrepancies in a timely and professional manner.
- Prepare and file required payroll tax reports and documentation with federal state and local agencies.
- Conduct periodic audits of payroll and personnel data to identify and resolve discrepancies.
- Assist in onboarding and offboarding processes including preparing offer letters employment contracts and exit documentation.
- Stay current with changes in labor laws tax regulations and HR best practices to ensure organizational compliance.
- Collaborate with HR Finance and IT teams to improve payroll and personnel systems and workflows.
- Associates or Bachelors degree in Human Resources Business Administration Accounting or a related field.
- Minimum of 3 years of experience in payroll processing HR administration or a similar role.
- Proficiency with payroll software (e.g. ADP Paychex Gusto Workday) and Microsoft Excel (advanced functions VLOOKUP pivot tables).
- Strong knowledge of federal state and local payroll regulations including FICA FUTA SUTA and wage garnishment laws.
- Experience with HRIS platforms (e.g. BambooHR Workday Oracle HCM) and benefits administration.
- Exceptional attention to detail accuracy and discretion when handling sensitive employee information.
- Excellent communication and interpersonal skills with the ability to manage confidential matters with professionalism.
- Ability to manage multiple deadlines and prioritize tasks in a fast-paced environment.
- Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC) is a plus.
