Job Summary

Key Responsibilities:

  • Manage the CEOs calendar and prioritize appointments effectively.
  • Organize board meetings and executive sessions including preparing and distributing Minutes of Meeting (MoM).
  • Handle ticketing travel bookings visas and accommodation arrangements.
  • Prepare professional reports presentations and executive summaries.
  • Shadow the CEO and represent them in meetings when required.
  • Follow up on tasks and ensure timely execution of action items.
  • Maintain confidentiality and professionalism in all communications.
  • Liaise with internal departments and external stakeholders on behalf of the CEO.

Authorities:

  • Authorized to schedule and reschedule meetings on behalf of the CEO.
  • Empowered to communicate and coordinate with senior management and external partners as needed.
  • Authorized to approve minor travel arrangements and logistics within predefined budgets.
  • Empowered to represent the CEO in internal meetings and decision-making forums during their absence.

Requirements:

  • Bachelors degree in Business Administration or a related field.
  • Minimum of 3 years of experience as an Executive Assistant or in a senior support role.
  • Excellent communication and strong follow-up skills.
  • High proficiency in English (written and spoken).
  • Strong time management multitasking and organizational abilities.
  • Proficient in Microsoft Office Suite (Word Excel PowerPoint Outlook).
  • Proven experience in handling board meetings drafting minutes of meetings (MoM) and preparing executive-level reports.
  • Professional appearance confident demeanor and ability to perform under pressure.
  • High level of discretion confidentiality and trustworthiness.
  • Willingness to shadow and represent the CEO when required.
  • Skilled in managing and updating executive contact lists.
  • Strong emotional intelligence with the ability to maintain effective relationships across all organizational levels.
