The Office Manager will be part of APAC Corporate Services team and will be responsible for:
1. Reception & Employee Experience
- Front Desk Management: Serving as the primary point of contact for guests clients and candidates; managing greeting procedures and guest registration
- Meeting Room Coordination: Overseeing calendar scheduling for shared spaces ensuring AV readiness and coordinating room setups for internal/external meetings
- Receptionist duties: Handling incoming/outgoing mail courier deliveries registered posts and package distribution to staff including filtering external calls managing central inbox queries and redirecting requests to appropriate internal teams
2. Facilities Maintenance & Operations
- Daily Floor Inspections: Conducting routine daily floor walks to identify lighting HVAC plumbing furniture or equipment issues
- Repairs & Maintenance: Reporting logging and following up on routine maintenance issues; executing office repairs and desk adjustments when needed
- Building Management Liaison/Facilities Management: Coordinating day-to-day facilities requests with the landlord or Building Management Office (BMO) and Contractors (e.g. air-con extensions cargo lift access pest control) which includes reporting logging and following up on routine maintenance issues
3. Office Management
- Pantry Services & Events: Overseeing daily breakfast lunch and snack stock levels according to budget available; placing routine grocery and pantry orders; ensuring high cleanliness standards. Coordinating logistics for in-house company lunches festive gatherings and corporate events alongside internal committees
- Vendor Operations: Supervising third-party service providers (cleaning personnel coffee machine suppliers air purifier technicians plant maintenance)
- Administrative duties: Overseeing enquiries by employees corporate gym memberships pass distribution and usage tracking for local and visiting staff. Preparing workstation allocations creating or deactivating physical access cards and managing storage lockers for new hires and leavers. Coordinating desk seating arrangements internal office reshuffles and hardware setup access which includes maintaining updated documentation on Google Drive system process guides and expense tracking for facilities spend
- Travel: Recording coordinating and arranging travel arrangements according to the companys policies
4. Health Safety & Compliance
- HSE Management: Assisting with Display Screen Equipment (DSE) assessments maintaining first aid supplies and assisting fire wardens during emergency drills
The ideal candidate is proactive punctual detail-oriented organized and creative with:
- A bachelors degree or at least two years of relevant experience
- Health and Safety management experience
- Proficiency in Microsoft Office with particular expertise in Excel and Outlook
- A positive friendly and helpful attitude
- Strong written and verbal communication skills
- An ability to effectively build relationships across groups and levels
