JOB SUMMARY

The Volunteer Services Supervisor is responsible for the volunteer processes and programs of Siloam Mission. This position is responsible for the recruitment training and supervision of volunteers and Volunteer Services department staff. The goal of this role is to maintain and expand volunteerism at Siloam to support the organizations programs initiatives and operations through coordinating events and ensuring volunteers are effectively integrated into Siloams operations. The Volunteer Services Supervisor will work primarily at Siloams 300 Princess St. location but will also travel to other service locations or external agencies.

KEY DUTIES & RESPONSIBILITIES

  • Assist management in the implementation of new policies and practices implementing best practices and maintaining the Mission Vision and Values of the organization
  • Maintain updated volunteerism training manuals publications brochures and website
  • Provide daily guidance leadership and supervision to staff including setting performance standards and monitoring performance; hold bi-weekly supervision meetings and engage in performance improvement plans as needed
  • Train staff in accordance with established policies and procedures to ensure they are able to perform all duties of their position in an efficient and professional manner
  • Assist staff to develop their skills and abilities by coaching mentoring recommending and providing access to professional development opportunities as available
  • Investigate and facilitate conflict resolution within teams and volunteer groups as needed following Siloam Mission policies and procedures
  • Prepare and complete incident reports daily logs required data collection for reporting and other required documents and reports
  • Oversee crisis response plan and ensure the plan is followed
  • Maintain appropriate staffing levels by ensuring posting requests are submitted in a timely manner; actively participate in the recruitment interview selection and hiring process with HR
  • Develop maintain and report on the staff schedule with support from the manager coordinating time off ensuring adequate coverage and ensuring accurate payroll reporting
  • Support management in the completion of annual performance reviews
  • Lead the team of volunteer services staff in the recruitment onboarding leadership management and recognition of volunteers to departments
  • Maintain and expand the volunteer recognition and retention program including planning and executing regular volunteer appreciation events and initiatives
  • Create and implement new volunteer opportunities and positions with job descriptions in consultation with department leads
  • Connect with the broader community in maintaining and creating new partnerships that enhance and expand volunteer programs
  • Ensure volunteer participation records meet organizational program and documentation standards of accuracy completeness and quality
  • Ensure the confidentiality and privacy of volunteers and staff is maintained at all times
  • Review and ensure accuracy of monthly budget reports
  • Ensure volunteers are following the established policies and procedures of Siloam Mission
  • Represent Siloam Mission to external partners as we include participants from recovery reintegration and supportive based programs/institutions
  • Collaborate with the Communications and Development Departments to support internal and external informational and promotional content campaigns initiatives and events

EDUCATION & EXPERIENCE

  • 3 years experience in a volunteer services program
  • 1 year supervisory or leadership experience required
  • Experience working with and/or leading volunteers in a non-profit organization is preferred; experience within the housing or social services sector is an asset
  • A Certified in Volunteer Administration (CVA) certification is preferred
  • Experience in events planning and project management is an asset

  • Exceptional presentation written and verbal communication skills
  • Skilled public speaker with the ability to lead site tours for diverse audiences with ease and confidence
  • Demonstrated ability to resolve issues involving staff and volunteers in a professional and timely manner
  • Knowledge of issues related to homelessness poverty health mental health and substance use
  • Understanding of Indigenous history colonization and its ongoing impacts on Indigenous peoples
  • Outstanding attention to detail organizational and time management skills with the ability to remain flexible and adapt to changing priorities quickly
  • Ability to motivate and empower employees
  • Strong mediation critical thinking and problem-solving abilities
  • A compassionate and empathetic outlook and ability to convey these characteristics in relationship with others
  • High level of professional judgement integrity confidentiality and accountability
  • Proven ability to collaborate and coordinate effectively with multiple departments and functions to support defined outcomes
  • Proficient with Microsoft Office including Word Outlook Excel and PowerPoint
  • Ability to learn and apply new software quickly and efficiently
  • Excellent understanding and knowledge of Better Impact

RELATIONSHIP

  • Supervises Volunteer Services staff and volunteers
  • Close working relationship with all departments of Siloam Mission
  • Works closely with external community partners and agencies

WORKING CONDITIONS

  • Hours of work: Monday to Friday 8 am - 4:30 pm with occasional evenings and weekends
  • Work may require standing and walking for extended periods of time
  • May be required to lift up to 50 lbs.
  • Must have a valid Class 5F drivers license an acceptable driver abstract and a vehicle in good condition
  • Travel to other Siloam Mission service locations required
  • Hazardous conditions could potentially include unpredictable or risky behaviours from community members

WORKPLACE SAFETY AND HEALTH

The incumbent contributes to making the organization safe for clients and staff and recognizes the importance of reporting unsafe situations and participating in follow-up reviews as a learning opportunity.

  • Provides a safe environment by ensuring adherence to Workplace Safety and Health Regulations and Policies Infection Control Guidelines WHMIS and Safe Work Procedures
  • Immediately investigates and recommends corrective action on any unsafe acts work conditions incidents near misses injuries or illnesses
  • Demonstrates understanding of role and responsibilities in fire prevention and disaster preparedness and participates in safety and health training programs including the facilitys Fire Disaster and Evacuation Plan
  • Supports an environment which avoids prevents and corrects all activities or actions which may result in an adverse outcome in the delivery of services. Community Member safety is a standing item for all individual and departmental meetings
  • If applicable the use of proper PPE and respiratory equipment is provided by the manager of the department and must be worn as suggested.
