ROLE
The Administrative Assistant -Travel provides high-level administrative and organizational support to the Travel Coordinator ensuring the efficient coordination of daily operations projects and communications within the division. This role requires exceptional attention to detail strong organizational skills and the ability to manage multiple priorities in a fast-paced project-driven environment.
Location: Vernon BC
Key Responsibilities:
- Manage travel requests and travel bookings for the Travel Coordinator.
- Track flight hotel and rental vehicle bookings using an internal Access database.
- Provide travel reports travel summaries and expense data as requested.
- Reconciliation of the travel credit cards.
- Coordinate communication between field crews project managers and internal departments.
- Support onboarding activities training coordination and scheduling for division personnel.
- General filing photocopying scanning ordering supplies and maintaining office organization.
- Additional administrative duties special projects and support activities as required.
Professional Experience / Qualifications:
- Strong organizational planning and time-management skills.
- Exceptional attention to detail and ability to maintain confidentiality.
- Excellent verbal and written communication skills.
- Proven ability to prioritize multiple tasks and adapt to changing priorities.
- Self-motivated with the ability to work independently and collaboratively within a team environment.
- Strong computer skills including Microsoft Office Suite (Outlook Word Excel Access PowerPoint and Teams).
- Experience coordinating projects schedules or administrative functions in a project-based environment is considered a strong asset.
- Experience in engineering construction geotechnical drilling or other industrial sectors is considered an asset.
- Professional demeanor with strong interpersonal and stakeholder relationship-building skills.
- Experience with document management systems and business software platforms is considered an asset.
Education:
- Administrative Assistant Certificate Business Administration Diploma or equivalent education and experience preferred.
- Post-secondary education in business administration project coordination or a related field is considered an asset.
