Talent Product Operations Associate

We have an opportunity for a Talent Product Operations Associate to join Infobloxs Talent Development & Organizational Effectiveness team in Burnaby Canada reporting to the Senior Director Talent Development & Organizational Effectiveness (TDOE).

In this role you will provide operational support across TDOE spanning both our Talent Product and People Communications teams. Your focus will be bringing structure visibility coordination and smart use of AI to help work move efficiently from idea to execution.

You will coordinate programs and workstreams including AI Enablement Leadership Performance Growth and broader Talent initiatives. You will also help manage communications operations including intake planning workflow coordination approvals scheduling and visibility across the editorial pipeline.

This is an early-career role for an organized curious AI-native professional who enjoys making complex work easier to navigate.

Be a Contributor What Youll Do

• Coordinate timelines across AI Enablement Leadership Performance Growth and other Talent Product initiatives ensuring launches recurring activities dependencies and stakeholder commitments are visible and aligned
• Track milestones owners dependencies risks decisions approvals launch readiness and follow-up actions; identify gaps conflicts delays or unclear ownership early and escalate appropriately
• Build and maintain simple effective workflows that connect the TDOE teams information resources stakeholders and communications using AI and automation where they can improve speed quality process or visibility
• Identify opportunities to simplify the teams manual work through better processes AI and automation and track improvements in areas such as time quality visibility and adoption
• Support People Communications operations by managing intake maintaining communications calendars tracking deadlines and approvals coordinating stakeholder reviews and keeping work moving through publication
• Coordinate communications requests from stakeholders across People & Places helping ensure clear briefs appropriate lead times timely reviews and approvals and visibility from intake through publication
• Use approved AI tools such as Microsoft Copilot & MS365 Glean low-code solutions templates and agents to improve intake meeting summaries reporting approval tracking reminders knowledge management and other recurring team workflows
• Prepare dashboards status updates decision records one-pagers executive updates portfolio reviews meeting materials and post-launch reports that support timely decisions and execution
• Keep program descriptions timelines FAQs templates decisions launch materials operating guides and links accurate current discoverable and easy to use
• Support cross-functional meetings stakeholder follow-up launch planning vendor coordination budget tracking purchase orders invoices and contracts as assigned

Be Prepared What You Bring

• Internship project academic volunteer or up to two years of experience in HR People Operations communications operations program or project coordination business operations or a related area
• Strong organizational skills and attention to detail with the ability to manage recurring deadlines multiple workstreams and changing priorities
• Clear concise writing skills including the ability to create briefs summaries trackers and one-page updates
• Comfort working with spreadsheets calendars project trackers presentations shared documentation and communications calendars
• Curiosity about AI automation agents and workflow design with practical experience using generative AI for research drafting summarization analysis or productivity
• Ability to review AI-assisted work for accuracy confidentiality bias inclusivity and appropriate human judgment
• Ability to work effectively with stakeholders who have different priorities needs and levels of clarity
• Ability to build structure establish effective ways of working and identify opportunities for improvement as processes evolve

Be Successful Your Path

First 90 Days: Immerse in our culture connect with mentors (Blox Buddies) learn the teams systems and ways of working and build relationships with key stakeholders across People & Places. Discuss and create short- and long-term goals.

Six Months:

• Own day-to-day maintenance of the integrated Talent Product calendar and portfolio tracker
• Produce accurate timely portfolio updates and stakeholder materials
• Manage assigned People Communications intake and workflow coordination improving visibility into deadlines reviews approvals and publication schedules
• Improve brief completeness lead-time visibility approval tracking and stakeholder follow-through
• Launch at least two AI-assisted workflows that reduce manual effort or improve accuracy for the team
• Maintain reliable team knowledge resources with current links templates owners and status information
• Support at least one portfolio review or major communications planning cycle end to end

One Year:

• Be recognized as a dependable operations partner for the team bringing structure visibility and follow-through to complex work
• Enable team members to spend more time on strategy design content and other high-value work
• Demonstrate measurable improvement in portfolio visibility milestone reliability communications readiness or workflow efficiency
• Independently coordinate multiple programs and communications workflows with limited guidance
• Help mature the teams operating rhythm and use of AI and automation
