$23 - $26 per hour
SUMMARY
Back in Motion Rehab Inc. has partnered with Universal Learning institute to provide WarehouseAbilities. This 9-week training program is tailored to industry needs and includes soft and essential skills Fundamental Warehouse Operations occupational skills and key warehousing certifications. Participants also receive hands-on work simulation training in a real-life warehouse environment and work experience opportunities. WarehouseAbilities provides comprehensive accessibility employment readiness and job search/maintenance supports to address barriers commonly faced by People with Multiple Barriers to Employment (including but not limited to Persons with Disabilities) and ensure sustainable employment in high-demand Warehousing sector. Under the direction of the Program Manager the Program Assistant coordinates aspects of file set up as well as contacting and scheduling participants for appointments. The Program Assistant also coordinates components of the training including scheduling guest speakers.
RESPONSIBILITIES
- Understands the program outcomes and objectives
- Understands the program service levels and eligibility criteria
- File set up including paper and electronic files as well as uploading
- Documents to MS SharePoint and Ministry database.
- Filing participant documents according to prescribed standards
- Photocopying of participant documents and assisting with formatting of participant documents
- Answers inquiries about services (as required)
- Answers phone and directs callers as needed
- Schedules participants for intake and other appointments as requested by the team and approved by the Program Manager
- Processes applications and liaises with referral sources
- Informs participants of group-based training schedule
- Timely recording of participant information and contact data into program notes
- Assists with coordinating guest speakers including informing them of the schedule
- Provides administrative assistance to the team with approval from the Program Manager
- Attend team meetings and record meeting minutes
- Assists with onsite workshops and supports clients during offsite certifications
- Assists with marketing program as needed
Minimum Qualifications:
- Two (2) years in providing administrative support
- Strong comprehension of all Microsoft Office programs database systems and basic admin tasks
- Ability to obtain and pass CRC and Vulnerable Persons check
Education:
- Administrative diploma an asset

- Professional telephone manner and strong communication skills with an ability to work with diverse groups.
- Ability to work collaboratively with a team as well as independently.
- Excellent at multi-tasking.

- Experience working with a multicultural population and an understanding of employment barriers.
- Secondary language is an asset.
