Policy Service Coordinator

A Policy Service Coordinator is responsible for providing administrative and operational support related to the servicing of financial insurance policies. This role acts as a key liaison between advisors carriers and internal teams to ensure policy transactions are processed accurately timely and in compliance with regulatory and company standards.WHAT YOU WILL DO:
Policy Administration & Servicing
- Process requests for all inforce policy change submissions including but not limited to policy change inquiries reinstatements cancellations addition or deletion of coverage requests full or partial conversions plan exchanges claim inquiries etc.
- Prepare review and submit policy documentation to insurance carriers or service providers.
- Track policy status and follow up on pending requirements to ensure timely completion.
Advisor Support
- Serve as a primary point of contact for advisors and internal partners regarding policy servicing inquiries.
- Coordinate client correspondence including policy delivery confirmations and various related service notifications.
Data Management & Documentation
- Maintain accurate and up-to-date client and policy records within internal systems and carrier portals.
- Ensure all documentation meets compliance regulatory and audit standards.
- Organize and archive records in accordance with retention requirements.
Coordination & Follow-Up
- Liaise with insurance carriers underwriters and third-party administrators to resolve servicing issues.
- Monitor outstanding items (e.g. medical requirements signatures payments) and proactively follow up.
- Escalate complex or time-sensitive issues to appropriate stakeholders.
Compliance & Quality Assurance
- Adhere to regulatory requirements company policies and service-level
- agreements.
- Support internal audits and quality reviews related to policy servicing activities.
- Identify errors trends or process gaps and recommend improvements proactively as appropriate.
WHAT YOU WILL BRING:
- Post-secondary education in business finance or administration ideally within the life insurance sector or equivalent experience.
- 13 years of experience in policy administration financial services operations insurance servicing or in a related role.
- Strong attention to detail and accuracy when handling confidential information.
- Proficiency with MS Oice (Word Excel Outlook); experience with CRM and policy administration systems is an asset.
- Excellent written and verbal communication skills.
- Strong time management skills including ability to prioritize multiple tasks.
This role follows our inoffice work model and requires employees to be onsite four days per week to support collaboration and business needs.
This opportunity is for an existing vacancy with the company. The anticipated base salary range for this position is $42500 to $71000. Exact salary depends on several factors such as experience skills education and budget.
