Reporting to the Director Legal Risk Management and Compliance the Operations Manager Office of the VP Students International & Infrastructure provides leadership in the coordination of divisional operations resources and strategic initiatives. The position oversees administrative and financial processes supports planning and decision-making through reporting and analysis manages cross-functional projects and serves as a key liaison to internal and external stakeholders in support of divisional and institutional goals.

The incumbent provides divisional leadership and coordination for budget administration financial processes and contract management across multiple functional areas. The incumbent monitors budgets oversees operational and administrative processes coordinates stakeholder activities and serves as a key resource to support effective decision-making compliance and the achievement of divisional objectives.

The incumbent leads complex projects and special initiatives providing oversight for planning implementation resource coordination and performance outcomes. As a principal liaison between the College and the Mohawk Students Association the incumbent cultivates and manages strategic relationships delivers presentations to senior stakeholder groups and provides expert advice and administrative leadership to support shared objectives and institutional priorities.

Through strong relationship management strategic coordination and operational leadership the incumbent contributes to effective decision-making organizational effectiveness and the successful achievement of divisional goals.

What youll be doing:

Financial Management

  • Coordinates the budget management process including the preparation and monitoring of the annual operational budget for the Office of the Vice President Students International & Infrastructure.
  • Manages all aspects of the budget for the Office of the VP Students International & Infrastructure including the processing allocation and approval of all budget expenses including purchase orders invoices expense claims credit card expenses inter-departmental transfers.
  • Tracks and monitors budget for strategic projects.
  • Develops monitors analyzes and identifies risks associated with budget activity.
  • Coordinates submissions for the Investment Proposal and Capital Planning for the Students International & infrastructure division.
  • When required coordinates budget review and reduction strategies for the Students International & infrastructure division.
  • Manages all invoicing and purchase order processing for the Athletics & Recreation department.
  • Manages all invoicing and purchase order processing for Fleet Management Department.
  • Manages all invoicing and purchase order processing for the Legal and Risk Management department.
  • In collaboration with other financial managers in the division coordinates overall budget management process to ensure sound fiscal management and reporting in accordance with college and other requirements.
  • Researches and prepares grants as required including project description budget statement of need goals and objectives activities & evaluation plan.

Special Initiatives Management

  • Manages the Welcome Week Volunteer Support at Fall Winter and Spring start-ups. This includes developing content for the registration site promotion of volunteer support organizing volunteer schedules conducting volunteer training preparing Welcome Week student materials and start-up signage set-up of signage and Welcome Booth pre- start-up and operating the Welcome Booth for the duration of start-up to assist students and to assign volunteers to a location.
  • Manages the development and execution of the Students International & Infrastructure Newsletter including the gathering of content across the division layout and distribution of the Newsletter via MailChimp.
  • Manages the development and execution of the Students International & Infrastructure Spotlight Series.
  • Works with the Corporate Secretary to plan promote and recruit for the Student Governor position on the College Board of Governors.
  • Assists with planning for SII Executive meetings SII Leadership Team meetings and Divisional Sessions.
  • Student Support & Experience Model: Supports the VP Students International & Infrastructure in developing and implementing the Model across the division including the application of survey findings into the Model tracking and reporting on business tactics within the Model over time to the Division.

Student Communications (CRM)

  • Utilizing college-provided CRM software and processes and working with departments across the college (including Students International & Infrastructure Academics and Communications Advancement & External Affairs divisions) develop and distribute college email communications to the student population on an ongoing basis. When required pull student distribution lists from Cognos Reporting Tool based on supplied parameters.
  • Send out weekly student newsletter Welcome Messaging during each semester start.
  • Implement weekly meetings with Communications and Marketing to review upcoming requests for student communications to determine best channels for the requested message.
  • Track student communications to ensure students arent overwhelmed with college messaging; and also track open and engagement rates with each eblast sent.
  • Work with Student Services and Supports and the Registrars Office to develop and execute Academic Promotion Status letters and Deans Honours Letters at the end of each term.
  • Conduct training sessions on the Envoke platform for college departments who wish to utilize the email platform for specific student communications.

Strategic Planning

  • Manages strategic planning and business priorities for the Students International & Infrastructure division including documentation of annual strategic plan and business priorities and tracking of progress against business priorities.

Athletics & Recreation Administration

  • Provide administrative support to the Athletics & Recreation department by creating and processing annual contracts for Head Coaches and Assistant Head Coaches.
  • Liaise with HR and Payroll to process payments for Head Coaches.
  • Liaise with HR to enter Assistant Head Coach contracts into system.
  • Develop timesheet schedule for appropriate pay periods for each Assistant Head Coach (between 30-40 individuals) and coordinate timesheet entry each pay period with payroll to ensure timesheets are open for required individuals; enter timesheets for each individual as needed.

Mohawk Students Association (MSA)

  • With the support of the VP Students International & Infrastructure maintain a positive working relationship with the MSA.
  • Organize and facilitate monthly meetings between the college and the MSA.
  • Attend the monthly MSA Board meetings with the VP SII.
  • Coordinate student list requests between the college and the MSA.
  • Plan and execute the annual Student Forums initiative in partnership with the MSA including the development of Survey Questions Promotions Event Planning and Execution of events at all campuses.

What youll bring to the role:

  • A 3-year degree or diploma in Business and/or Office Administration or equivalent combination of education and experience.
  • A minimum of five years of administrative experience.
  • Operations and budget management experience in a similar setting and capacity.

  • Familiarity and knowledge of software tools training needs and upgrade cycles.
  • Preference given to project management/budget management skills.
  • Broad based knowledge of all College programs and services.
  • Knowledge of College budgetary and financial processes (FAST suite).
  • Extensive knowledge of College organization systems policies and procedures.
  • Ability to communicate orally and in writing with clients co-workers and community contacts.
  • Strong problem solving and analytical skills.
  • Skills in time management priority-setting conflict resolution and delegation.
  • Ability to work in a team environment.
