Job Summary
About the Role
The Office Manager supports the daily operations of Sphere Medias Toronto office and helps ensure that office services facilities administrative processes and internal coordination run smoothly.
This role requires strong organizational and communication skills discretion and the ability to work effectively with corporate production creative HR IT finance and external partners in a fast-paced media environment.
Key Responsibilities
- Keep the Toronto office organized welcoming functional and well maintained on a daily basis including the kitchen and common spaces.
- Order and manage office supplies equipment furniture and other workplace needs.
- Manage couriers deliveries guest reception catering conference room bookings and the day-to-day use of meeting spaces.
- Manage and maintain office storage spaces ensuring they remain organized accessible and functional.
- Support the implementation of simple efficient office processes and administrative best practices.
- Help ensure the office operates in compliance with applicable health safety and workplace requirements.
- Organize employees travel including transportation accommodations and itineraries.
- Prepare and process expense reports and invoices.
- Coordinate with vendors service providers and landlords as required.
- Plan and organize internal events screenings and other company gatherings.
- Act as a liaison with HR and IT teams for onboarding equipment coordination access needs and general employee support.
Qualifications and Skills
- Relevant experience in office management administration operations coordination or a similar role.
- Hands-on attitude and willingness to support practical office needs including moving boxes setting up spaces and helping with day-to-day workplace tasks.
- Excellent organizational skills and the ability to manage multiple priorities at once.
- Strong communication skills and a professional service-oriented approach.
- Ability to work with discretion and good judgment in a fast-paced environment.
- Comfort working with vendors invoices expense reports travel bookings office supplies and operational follow-up.
- Experience in media television production creative industries or a related environment is an asset.
- Proficiency with Microsoft Office tools and general comfort with shared digital systems.
