The Internal Controls and Risk Administrative Coordinator (ICR Coordinator) position provides a rewarding blend of administrative coordination and analytical responsibilities including deadline and meeting coordination preparing correspondence presentations and reporting financial administration and supporting internal controls and enterprise risk management projects. Key Responsibilities:

  • Provide administrative assistance to the ICR Officer - manage schedule prioritize messages ensure timely responses track deadlines and maintain organization to support seamless workflow and decision-making
  • Draft meeting agendas coordinate logistics and prepare/distribute meeting minutes; ensure outstanding action items list is kept up to date for meetings and committees
  • Draft and review various forms of correspondence including presentations emails reports and memos ensuring clarity accuracy tone and adherence to corporate standards and policies
  • Liaise with Senior Administration Executive Assistants and the Municipal Clerks Office to facilitate collaboration and coordinate Council Executive Team and Senior Leadership Team reports
  • Act as department records management representative and SharePoint administrator providing subject matter expertise in determining appropriate site setup meta data tagging permissions and ensuring alignment with corporate standards as well as supporting ATIP requests and other access to information inquiries
  • Coordinate and support customer service for the department as well as administer customer service tools and triage inquiries when necessary
  • Provide technical support for the Internal Controls and Enterprise Risk Management programs including running Oracle Risk Management Module (RMM) reports and completing preliminary analysis in alignment with review cycles
  • Coordinate ICR Projects and Priorities list as well as support the development maintenance and improvement of executive-level ICR reporting
  • First line of communication with areas across the organization to confirm scheduled internal controls and compliance activity progress
  • Provide administrative support for department procurement financial management and budgeting processes

Qualificationsand Skills:

  • Post-secondary Certificate or Diploma in Business Administration Accounting Risk Management or a related field combined with a minimum of 5 years of administrative experience preferably supporting a leadership or management role
  • Aptitude or interest for working with numerical data and experience supporting accounting or other financial operations is considered an asset
  • Experience supporting projects through research planning coordination and follow-through
  • Thorough knowledge of administrative policies procedures and best practices
  • Strong organizational time management and prioritization skills; able to manage multiple competing priorities in a fast-paced environment
  • Excellent verbal and written communication interpersonal and customer service skills with the ability to build effective working relationships with a variety of internal and external partners
  • Demonstrated professionalism discretion and sound judgment when handling confidential and sensitive information
  • Advanced proficiency with Microsoft Office (Word Excel PowerPoint Outlook) with experience using SharePoint eScribe or similar collaboration and meeting management tools
