Job Summary
Trans Mountain Corporation operates Canadas only pipeline system transporting oil products to the West Coast. We deliver approximately 890000 barrels of petroleum products each day through a dual pipeline system of more than 1150 kilometres of pipeline in Alberta British Columbia and Washington state.
Trans Mountain also operates a state-of-the-art loading facility Westridge Marine Terminal with three berths providing tidewater access to global markets.

Trans Mountain is seeking a collaborative motivated and values driven individual to join our dynamic team as HR Coordinator Talent Acquisition for the West Coast Oil Pipeline (WCOP). Reporting to the Manager Talent Acquisition WCOP this position will provide support to a geographically dispersed group of Talent Acquisition Advisors across all phases of the recruitment hiring and onboarding process. Working in a fast-paced project environment the successful candidate will be adaptable detail-oriented and able to adjust to competing priorities while demonstrating a strong willingness to learn and contribute to evolving recruitment and onboarding demands.
Key Responsibilities
- Coordinate recruitment and onboarding activities within the Applicant Tracking System (ATS) ensuring requisitions candidate profiles interview stages offers onboarding tasks and related documentation are accurate complete and updated in a timely manner.
- Assist with the development review and revision of job descriptions and postings ensuring content is clear consistent inclusive and aligned with role requirements organizational standards and posting guidelines.
- Serve as a key point of contact for candidates throughout the recruitment and hiring process by coordinating communications responding to inquiries providing timely updates and supporting a professional and positive candidate experience.
- Create and publish job postings on Trans Mountains career site and applicable third-party job boards ensuring postings are accurate well-formatted and released in accordance with internal recruitment processes.
- Prepare employment offer documentation for new hires supporting accurate completion approval routing distribution tracking and follow-up in alignment with established hiring procedures.
- Coordinate pre-employment screening requirements with external vendors candidates and internal stakeholders including background checks and related documentation while monitoring status and escalating delays or issues as appropriate.
- Adapt to shifting recruitment priorities project timelines and competing stakeholder demands while maintaining a high level of responsiveness accuracy and service orientation.
- Partner effectively with Talent Acquisition HR Operations hiring teams and other internal stakeholders to coordinate onboarding activities and help ensure new hires receive a seamless timely and welcoming onboarding experience.
- Provide administrative support for HR and Talent Acquisition programs as assigned including data entry document preparation recruitment tracking reporting support meeting coordination and other activities required to support effective program delivery.
- Maintain accurate recruitment records employee files and related HR documentation in accordance with internal document management confidentiality and record-keeping requirements.
- Identify opportunities to improve recruitment coordination onboarding administration data accuracy and workflow efficiency and escalate recommendations to the appropriate level for review approval and implementation.
- Demonstrate openness to learning new systems processes and ways of working and apply feedback and new knowledge to continuously improve day-to-day coordination and administrative support.
- Respond to general information requests from candidates new hires hiring leaders and internal HR partners providing accurate guidance or redirecting inquiries to the appropriate resource as needed.
Qualifications and Professional Experience
- Post-secondary education in Human Resources Business or related discipline.
- Working towards Chartered Professional of Human Resources (CPHR) designation is considered an asset.
- A minimum of 3 years of experience providing recruitment coordination and HR administrative support in a fast-paced high-volume environment including candidate correspondence interview scheduling offer preparation onboarding support data entry document processing and maintaining accurate employee or candidate records.
- Previous experience supporting recruitment HR coordination or administrative activities in a project-based environment is considered an asset.
- Previous exposure/experience with Applicant Tracking Systems (ATS) and/or Human Resources Information Systems (HRIS).
- Knowledge of SuccessFactors and Microsoft Dynamics 365 is an asset.
- Strong skills with the Microsoft suite of products proficiency with Word Excel and PowerPoint is a strong asset.
- Experience providing HR administrative support across all stages of the employee lifecycle.

- A track record of delivering high-quality work in a fast-paced environment with the ability to manage competing priorities adjust to changing demands and support key business processes or operational functions.
- Demonstrated ability to work effectively with colleagues and stakeholders from a variety of backgrounds and levels across the organization.

- Proven organizational skills with the ability to manage priorities meet deadlines and maintain attention to detail in a fastpaced environment.
