Position Summary

GFL Environmental Services is seeking a proactive highly organized and strategic Executive Assistant to provide high-level support to our Senior Leadership this role you will serve as a primary operational partner and extension of our executive leaders ensuring optimal time management seamless daily operations and clear communication across internal and external stakeholders. The ideal candidate thrives in a fast-paced environment possesses exceptional communication skills and exercises impeccable discretion.

Specific Duties and Responsibilities

  • Manage and optimize calendars strategically prioritizing requests and resolving scheduling conflicts.

  • Draft edit and proofread executive-level communications presentations and reports.

  • Coordinate end-to-end travel logistics including itineraries accommodation and expense reporting.

  • Prepare and create relevant materials (i.e. documents reports presentations).

  • Act as the primary gatekeeper and bridge for smooth communication with internal and external partners.

  • Organize key meetings offsites and events including agenda preparation minute-taking and action-item tracking.

  • Handle sensitive and confidential company information with strict professionalism and privacy.

  • Perform a broad variety of administrative and project management tasks.

  • Other duties as assigned.

Experience and Qualifications

  • 5 years of administrative support experience with at least 23 years supporting senior or C-suite executives.

  • Excellent computer skills and proficiency in Google Workspace and travel/expense management software systems.

  • Familiarity with basic financial workflows (budget tracking expenses invoicing).

  • Prior experience in the environmental or oil and gas industry is considered an asset

  • Strategic time management and schedule prioritization.

  • Strong problem-solving abilities resourcefulness and composure in high-pressure situations.

  • High adaptability to pivot seamlessly as business priorities and schedules shift.
