Exam Office Administrator Access and Equity Services

Summary:

The exam office administrator provides front-line administrative support and oversees the daily operations of the departments general office. This role coordinates front-office functions supports students staff and instructors and contributes to the delivery of exam accommodations. This position supervises and guides front-office staff helping maintain consistent service delivery and adherence to university and department policies and procedures. Additionally the administrator coordinates responses to inquiries supports exam logistics and completes operational processes related to payroll human resources and technology. The role also addresses complex and unexpected administrative situations using knowledge of disability-related needs human rights legislation and institutional policies.

Duties and Responsibilities:

  • Provides daily supervision and coordination of front-office staff activities.
  • Oversees front-office operations and adjusts workflow based on program demands and student needs.
  • Provides guidance and mentorship to clerical staff in task prioritization and issue resolution.
  • Responds to and triages inquiries via multiple channels.
  • Completes exam administration processes using the accommodation system including data entry and reporting.
  • Coordinates delivery and pickup of completed exams and supports exam logistics during peak periods.
  • Supports exam program staff by providing guidance and reinforcing adherence to policies.
  • Facilitates payroll and human resources processes such as reviewing submissions and approving timesheets.
  • Troubleshoots electronic exam issues and provides basic information technology support and training.
  • Monitors facility and space-related concerns and submits maintenance or service requests.
  • Performs general office administration tasks such as filing printing sorting and secure document handling.
  • Assists invigilators with academic integrity concerns in accordance with university policies.
  • Responds to emergency situations in alignment with established protocols and documents incidents.
  • Communicates and acts in a respectful and professional manner collaborates effectively abides by policy and contributes to a positive and productive work and learning environment.
  • Engages in continuous learning byparticipatingin activities training and events related to Indigenous engagement reconciliation equity diversity and inclusion.
  • Demonstrates respect and dignity for all members of the community actively contributes to an environment of acceptance and inclusion ofothers andresponds to different perspectives from a place of curiosity respect and non-judgement.
  • Undertakes related duties as assigned consistent with the nature of the position.


Qualifications:

  • An office administrationdiploma.
  • Minimum of one year of related experience working with individuals with disabilities preferably in a post-secondary environment.
  • Experience providing front-line guidance and mentorship.
  • Strong knowledge of human rights legislation and protected grounds.
  • Tact and discretion in working in sensitive situations involving a diverse range of individuals.
  • Strong problem-solving critical thinking and decision-making skills.
  • Effective organizational prioritization and multitasking abilities.
  • High level of integrity in handling confidential information.
  • Ability to work effectively both independently and collaboratively in a team.
  • Familiarity with university academic structures policies and systems is preferred.
  • Knowledge of university exam-related policies and processes is an asset.
  • Proficient computer skills including Microsoft Office applications with the ability to learn new technologies; experience with university systems is preferred.
