Document Control Administrator

Job Summary
This position is based in Port Hope Ontario.
Maintain and manage project document control systems ensuring all documentation is current properly filed and version controlled.
Process and track incoming and outgoing documents including drawings submittals RFIs specifications and project correspondence.
Ensure documents are distributed to appropriate stakeholders in a timely manner maintaining accurate distribution records.
Support document control processes in alignment with project procedures client requirements and document management standards.
Maintain document logs registers and trackers to monitor document status revisions and approvals.
Coordinate with project team members subcontractors consultants and suppliers to ensure documentation is complete accurate and submitted on schedule.
Review documentation for completeness and formatting prior to submission and escalate discrepancies as required.
Prepare and maintain meeting minutes and ensure key documentation and action items are properly recorded and distributed.
Support project closeout activities including the coordination and compilation of final document turnover packages.
Maintain awareness of project status and identify documentation delays or risks that may impact project execution.
Provide general document control and administrative support to the project team as required.
Post-secondary diploma or degree in a construction-related or administrative discipline is considered an asset.
Minimum 23 years of experience in document control project coordination or administrative support within construction or industrial environments.
Strong understanding of document control processes including version control document tracking and distribution.
Proficiency in Microsoft Office and document management systems; experience with SharePoint is considered an asset.
Proficiency with Microsoft Office Suite and document management systems; SharePoint and Procore experience is an asset
High attention to detail and accuracy in document management and record keeping.
Strong organizational and time management skills with the ability to manage multiple priorities.
Effective communication skills and ability to coordinate with multiple stakeholders.
Ability to work independently and in a team environment in a fast-paced project setting.
