Description of the Position:

The Coordinator Granting and Hospital Relations sits at the intersection of donor intent hospital operations and grant execution ensuring funds are accurately administered compliant and aligned to donor commitments. This role supports the Granting and Hospital Relations team by coordinating grant workflows maintaining accurate data and reporting processes supporting stakeholder meetings and follow-up and helping identify opportunities for greater efficiency including where AI may reduce routine low-value work. This role reports directly to the Director Granting & Donor Impact.

You will:
  • Own weekly reporting processes that inform team priorities and highlight risks delays data inconsistencies or gaps;
  • Coordinate grant workflows to ensure timely approvals accurate coding and compliance with donor intent;
  • Act as a central connector between Foundation and Hospital teams ensuring alignment on deadlines data and processes;
  • Maintain data integrity across systems supporting grant tracking external grants pledge payment schedules coding adjustments and reporting;
  • Support the review of grant requests and related documentation for accuracy and completeness especially during peak periods and vacations;
  • Submit recurring grants for approval and process external grant payment requests or support team members with this function;
  • Coordinate meetings and training sessions with the Granting & Hospital Relations team and Hospital personnel including scheduling agendas minutes attendance and technology requirements;
  • Maintain team resources including the teams intranet page process documentation and related tools;
  • Identify opportunities to streamline routine work improve processes and leverage tools including AI-enabled solutions where appropriate; and
  • Provide additional office and project support as required.
Qualifications:

While we know that for any job posting no one candidate will possess the qualifications being sought in equal measure below is an outline of the qualifications we believe are important for a candidate to bring to the position or for the successful candidate to develop while in the role:

  • Post-secondary certificate/diploma with a minimum of 2 years of experience in a similar role ideally in administration fundraising operations grants finance donor relations or a related environment;
  • Proficient with MS365 Word and Outlook with a willingness to learn new computer programs;
  • Intermediate Excel skills including VLOOKUP with comfort working with structured data and identifying inconsistencies or gaps;
  • Knowledgeable of Blackbaud Customer Relationship Management (CRM) or other equivalent fundraising platforms and CRM database systems;
  • Experience supporting multiple stakeholders with competing priorities ideally in a complex or regulated environment;
  • Proactive in identifying issues and following through independently in a deadline-driven environment;
  • Ability to work independently while collaborating effectively with team members and stakeholders across the organization;
  • Strong attention to detail accuracy and functionality;
  • Excellent communication skills both written and verbal;
  • Strong sense of confidentiality and experience working with highly sensitive information;
  • Able to manage multiple projects with various timelines and handle competing and changing priorities;
  • Highly organized with sound judgement and the ability to make decisions and take action;
  • Curious and open to identifying process improvements including the appropriate use of AI or other tools to reduce routine low-value work;
  • Familiarity with database queries is an asset; and
  • Understanding of charitable accounting particularly restricted fund accounting is an asset.

Total Compensation Package:

Hiring Salary Range: $49846.00 $58640.00; with the ability to progress to a maximum of $70367.00 To ensure fair and equitable pay at SickKids Foundation placement on the salary range will be based on your years of experience skills and qualifications relevant to the Coordinator Granting and Hospital Relations.

Position Status: Temporary Full Time (14-month Contract)
