Job Summary

The Project Coordinator Architectural Trades supports the planning procurement coordination installation inspection and closeout of architectural construction packages for station and associated building areas. 

Working closely with the Architectural Project Manager site supervision design consultants quality teams commercial teams suppliers and subcontractors the Project Coordinator helps ensure that architectural work is executed safely in the correct sequence and in accordance with approved drawings specifications contract requirements approved samples applicable codes and project quality standards. 

The position focuses specifically on architectural and building-finish scopes rather than civil works. These may include masonry façade drywall and partitions ceilings architectural metalwork doors and hardware glazing roofing waterproofing cladding flooring tiling painting millwork signage louvers firestopping sealants and other interior and exterior architectural finishes. 

The salary range for this position is $90000 CAD - $120000 CAD plus additional benefits.

Key Responsibilities:

Architectural Planning & Coordination

  • Coordinate architectural construction packages from design development and procurement through installation inspection deficiency correction and final turnover.
  • Review architectural drawings reflected ceiling plans room data sheets door and hardware schedules finish schedules specifications shop drawings samples mock-ups method statements and installation details. 
  • Confirm that subcontractor shop drawings and technical submittals are coordinated with the latest approved design information before materials are released for fabrication or installation. 
  • Identify discrepancies missing information constructability concerns dimensional conflicts and interface issues affecting architectural work. 
  • Prepare submit track and close Requests for Information relating to architectural design finishes materials dimensions tolerances interfaces and installation requirements. 
  • Coordinate architectural requirements with structural mechanical electrical plumbing fire protection communications security vertical transportation and other interfacing disciplines. 
  • Work with design and field teams to confirm wall openings embeds sleeves access panels equipment clearances ceiling coordination service penetrations backing supports and finishing requirements. 
  • Support the preparation of architectural work plans look-ahead schedules installation sequences access requirements logistics arrangements and area-release plans. 
  • Coordinate architectural samples colour selections material approvals control samples first-work inspections and mock-ups. 
  • Maintain architectural trackers for submittals RFIs samples mock-ups design changes procurement installation status inspections deficiencies and closeout documentation. 

Procurement Construction and Field Coordination

  • Assist in defining architectural subcontractor scopes of work and identifying scope gaps exclusions overlaps and trade interfaces. 
  • Support the preparation and review of bid packages technical comparisons scope clarifications supplier proposals subcontractor submissions and procurement recommendations. 
  • Coordinate with procurement teams suppliers fabricators and architectural subcontractors to monitor material approvals fabrication activities delivery dates storage requirements and installation readiness. 
  • Track long-lead architectural materials and equipment including doors and hardware glazing systems cladding specialty finishes ceiling systems architectural metalwork millwork signage and custom-fabricated components. 
  • Confirm that materials delivered to site correspond with approved submittals samples finishes colours quantities and project requirements. 
  • Monitor architectural activities in the field and coordinate with site supervisors and subcontractors to maintain the required work sequence and planned production. 
  • Verify that work areas are ready before architectural subcontractors mobilize including access preceding-work completion environmental conditions dimensions temporary services material storage and protection requirements. 
  • Coordinate access hoisting work zones laydown areas temporary protection material handling and interfaces between architectural subcontractors operating in shared areas. 
  • Participate in daily coordination meetings weekly subcontractor meetings look-ahead planning sessions design reviews quality meetings and progress meetings. 
  • Monitor architectural subcontractor manpower productivity work fronts constraints and scheduled completion dates. 
  • Identify and escalate potential delays incomplete prerequisites design constraints procurement risks coordination conflicts and quality concerns. 
  • Support the development and implementation of practical mitigation and recovery measures. 
  • Ensure architectural activities are carried out in compliance with project health and safety requirements environmental requirements approved work plans and site procedures. 

Quality Compliance and Closeout

  • Support quality assurance and quality control activities for architectural work. 
  • Verify that architectural installations comply with approved drawings specifications shop drawings samples mock-ups manufacturer requirements inspection and test plans applicable codes and project standards. 
  • Coordinate inspections with subcontractors site supervision quality personnel consultants designers authorities and other stakeholders as applicable. 
  • Prepare and maintain inspection requests checklists deficiency lists non-conformance records corrective-action records and associated quality documentation. 
  • Monitor workmanship alignment tolerances finishes colour consistency joint treatment transitions interfaces protection and final appearance. 
  • Confirm that concealed architectural work and interfacing conditions are inspected before walls ceilings cladding systems or other finishes are closed. 
  • Coordinate testing and specialist inspections related to architectural systems where required including water penetration adhesion pull testing sealant firestopping door operation hardware functionality and other specified performance requirements. 
  • Manage architectural deficiencies from initial identification through correction reinspection acceptance and closure. 
  • Coordinate room-by-room area-by-area or system-based inspections and turnover activities. 
  • Support the preparation of as-built drawings warranties maintenance information attic stock records spare-material inventories operation and maintenance manuals training records product data certificates and turnover packages. 
  • Confirm that architectural closeout documentation is complete accurate properly organized and submitted in accordance with project requirements. 
  • Support final cleaning protection removal touch-ups finish repairs and the presentation of completed areas for inspection and handover. 

Progress Reporting Cost Control and Change Management

  • Track architectural progress by trade area level work package or construction zone. 
  • Maintain accurate records of completed quantities planned versus actual progress outstanding work constraints deficiencies and forecast completion dates. 
  • Prepare weekly and monthly architectural progress reports dashboards photographs trackers and management updates. 
  • Assist with schedule reviews and short-term planning for architectural packages including three-week six-week and other project-specific look-ahead schedules. 
  • Support quantity tracking installed-progress measurement subcontractor progress reviews and payment-assessment processes. 
  • Review subcontractor progress claims against actual work completed accepted materials approved changes deficiencies and supporting records. 
  • Maintain records supporting architectural changes including instructions RFIs site conditions labour records material records photographs quotations and schedule impacts. 
  • Assist in identifying potential changes scope growth rework design development and out-of-sequence work. 
  • Support the review of subcontractor quotations and change-order documentation for completeness and alignment with the defined architectural scope. 
  • Assist with cost forecasting commitment tracking accruals quantity reconciliation and architectural package cost reporting. 
  • Monitor material waste rework damage productivity and subcontractor performance and support corrective measures where needed. 
  • Maintain accurate daily and weekly records to support progress verification commercial discussions schedule analysis and dispute avoidance. 
  • Identify trends recurring constraints and opportunities to improve architectural coordination procurement installation inspection and turnover processes. 

Qualifications :

  • College diploma or bachelors degree (preferred) in Architecture Architectural Technology Construction Management Building Science Engineering Technology or another construction-related discipline.
  • Two to three years of experience in project coordination construction coordination architectural construction building finishes or a related construction environment. 
  • Experience reviewing architectural drawings specifications shop drawings material submissions samples and finish schedules. 
  • Experience coordinating subcontractors suppliers consultants and field activities. 
  • Experience on large complex building transportation transit institutional commercial industrial or infrastructure projects involving significant architectural scope is an asset. 
  • Experience with interior fit-out exterior envelope station finishes public-facing areas or high-quality architectural finishes is an asset.
  • Ability to read and interpret architectural drawings reflected ceiling plans sections elevations details schedules specifications contracts and technical documentation. 
  • Understanding of architectural construction methods materials finishes installation sequencing tolerances and trade interfaces. 
  • Working knowledge of common architectural packages such as masonry drywall ceilings doors and hardware glazing waterproofing roofing cladding flooring tiling painting millwork signage firestopping sealants and architectural metalwork. 
  • Ability to compare drawings shop drawings specifications samples and field conditions to identify inconsistencies and missing information. 
  • Strong understanding of the coordination required between architectural installations and mechanical electrical plumbing fire-protection security communications and structural systems. 
  • Ability to prepare clear RFIs meeting minutes deficiency reports progress reports technical correspondence trackers and supporting change documentation. 
  • Strong planning and organizational skills with the ability to manage multiple architectural packages priorities deadlines and stakeholders. 
  • Strong attention to detail particularly regarding finishes dimensions tolerances interfaces approved materials and documentation status. 
  • Effective verbal and written communication skills. 
  • Ability to communicate professionally with project managers superintendents subcontractors architects consultants suppliers quality personnel and client representatives. 
  • Ability to work collaboratively within a multidisciplinary project team while maintaining ownership of assigned actions. 
  • Strong problem-solving skills and the ability to identify practical solutions to architectural coordination and field-installation issues. 
  • Ability to spend time in active construction areas and verify progress and conditions directly in the field. 
  • Demonstrated commitment to safety quality accountability teamwork and continuous improvement. 
  • Proficiency in Microsoft Word Excel Outlook PowerPoint and Teams. 
  • Ability to develop and maintain progress trackers submittal logs RFI logs procurement schedules deficiency lists quantity records and reporting tools in Excel. 
  • Ability to review mark up compare and organize architectural drawings and technical documents electronically. 
  • Experience using construction document-management and collaboration platforms such as Autodesk Construction Cloud BIM 360 Procore Aconex SharePoint or an equivalent platform is an asset.
  • Experience using Bluebeam Revu or similar PDF review and markup software is an asset. 
  • Familiarity with AutoCAD Revit Navisworks Primavera P6 or Microsoft Project is an asset.
