The Conflicts & Business Intake Analyst provides an efficient and seamless business intake process for opening new matters. Responsible for conducting business research and database content analysis to provide information to legal professionals so that they can confirm that the acceptance of new business does not negatively affect the interests of current or past clients and it does not affect the Firms ability to impartially represent current former and new clients. Responsible for the Firms new business intake including matter openings client matter amendments and conducting conflict of interest searches for the Toronto Ottawa Montreal Calgary Vancouver and New York offices.

Major Responsibilities
- Execute conflict of interest and business research searches using multiple databases.
- Analyze review and summarize search results to prepare accurate conflict reports for legal professionals.
- Open new client matters and ensure compliance with firm policies regulatory requirements and law society obligations.
- Review and validate matter opening requests amendments and related documentation to ensure accuracy and completeness.
- Maintain data integrity by analyzing updating and resolving issues within client and matter management systems.
- Provide quality control by verifying information correcting errors and ensuring compliance with established procedures.
- Support users by troubleshooting system issues monitoring workflow requests and resolving processing irregularities.
- Maintain and update client management databases ensuring accurate and current records.
- Follow firm policies and procedures related to conflicts management matter intake and compliance activities.
- Participate in process improvements system enhancements testing of new tools and other administrative duties as required.
Position Requirements
Education and Experience
A university degree or college diploma (preferably in information management library science & technology or information science) plus a minimum of three years experience in a legal environment or professional services firm. An equivalent combination of education training and experience may be considered.
Knowledge and Skills
- Advanced research investigation analytical and problem-solving skills with strong judgment and strategic thinking.
- Experience searching databases and analyzing interpreting and validating data.
- Strong attention to detail accuracy quality and continuous improvement mindset.
- Ability to work independently prioritize effectively and escalate issues when appropriate.
- Excellent time management and organizational skills in fast-paced deadline-driven environments.
- Strong verbal and written communication skills including report writing and presentations.
- Proven collaboration negotiation and relationship-building skills with diverse stakeholders.
- Strong technical proficiency including MS Office Intapp Risk & Compliance Suite accounting software database applications business intake systems and troubleshooting.
- Educate and provide guidance to Firm members regarding the policies and procedures of business intake and conflict management.
- Maintain professionalism and confidentiality of Firm and client information.
We are currently working in a hybrid work arrangement which includes the requirement to work a minimum of one-day onsite per week.
The hours of work for this role are Monday to Friday 10:00 a.m. to 6:00 p.m. EST (Toronto). Participation in a weekend on-call rotation is required. The rotation occurs approximately every eight weeks and involves being on call on Saturday and Sunday from 9:00 a.m. to 6:00 p.m.
Compensation
Theârange of expected compensation for this position is $62000 - $72000 annually. Compensation offered will be based on a variety of factors including job-related knowledge education skills and experience.
