This position has a term length of1 year plus 1 day with the possibility of extension.

Location - This role is in-person at Augustana Camrose.

The Clinic & Program Assistant is located at the Faculty of Rehabilitation Medicines satellite campus in Augustana. The position has two main areas of focus: clinic support and program support.
Clinic Support: entails the provision of administrative support to the Interdisciplinary Teaching Clinic. The individual will be responsible for the day to day administrative functions of the clinic including: greeting patients scheduling billing record keeping and general office duties. Clinic support is the primary focus of the position with program support provided as time permits.

Program Support: entails the provision of technical and administrative support to the course-based MScOT MScPT and MScSLP programs situated at the University of Albertas Faculty of Rehabilitation Medicine satellite site at Augustana Campus. The individual in this position will model the clinical role of the Therapist Assistant for students in the entry to practice programs and handle a variety of requests from faculty staff and students. The Program and Clinic Assistant will provide technical assistance with the IT/AV equipment used in the distributed education model as well as support for Canvas.

The position reports to the Manager FRM Teaching Clinics.



Responsibilities

Clinic Operations:

  • Responsible for day to day administrative functions of the Clinic including maintaining telehealth equipment
  • Outline clinic procedures and keep Clinical Educators and students advised of changes
  • Manage client files (paper electronic) and ERM
  • Manage schedules client intake discharge and waitlist
  • Maintain clinic room scheduling on shared calendars set up group folders on Google drive
  • Manage clinic email account and phone lines; answer inquiries from parents/guardians potential clients school personnel health professionals etc. regarding clinic operations; maintain waiting list for new clients in coordination with clinical team
  • Update and create clinic forms as necessary
  • Manage clinic materials and recording equipment (e.g. ordering and receiving new materials assessment forms etc)
  • Collaborate with train and support students regarding materials and processes
  • Responsible for clinic inventory (Tracks and orders clinical and teaching supplies and equipment)
  • Accounts receivable; i.e. billing and collecting fees keeping track of client payments
  • Takes initiative to ensure equipment is stored properly.
  • Coordinates laundry services for clinical space including collecting soiled laundry arranging laundry pick-up and storing fresh laundry
  • Maintains clinic treatment areas (equipment and space) throughout the day
  • Contributes to the creation of a safe and effective practice environment
  • Manages mailroom supplies and distribution of deliveries to clinic as needed
  • General office duties as required and cross coverage for all services within FRM teaching clinics

Administrative and Instructional Support to Professional Programs

  • Maintains inventory of equipment materials and orders replacements as needed via Coordinator
  • Oversees logistics for practical exams including the booking of rooms
  • invigilates both practical and written exams in-person and online
  • Schedules and assists client educators
  • Assists instructors in preparation of various learning activities
  • Coordinates student access to learning resources and labs
  • Assists instructors with creating Canvas sites uploading materials etc.
  • Monitors student practice labs

Technical Support to Professional Programs

  • Maintains all teaching rooms laboratories and resources
  • Completes routine maintenance on lab equipment such as wheelchairs walkers plinths etc.
  • Provides technical support for courses and labs
  • Sets-up and takes down lab and exam demonstrations and equipment
  • Assists instructors with the use of distributed education technology
  • Assists instructors with the Universitys learning management system (Canvas)


Qualifications
  • 2 years experience working in administration in a clinical environment is required
  • A therapy assistant diploma is an asset in addition to clinic administration experience
  • Exceptional relational skills and client service focus are required
  • Attention to detail and performs duties with accuracy tact and maintains confidentiality
  • Experience working in a post-secondary environment is an asset
  • Advanced user of Microsoft Office Suite
  • Experience with EMR (Electronic Medical Record) software is an asset
  • Ability to multitask prioritize and perform tasks accurately with attention to detail
  • Ability to meet deadlines and work well under pressure both independently and as part of a team
  • Excellent verbal and written communication interpersonal and organizational skills
  • Familiarity and comfort with Google Applications and/or Canvas
  • Comfortable with technology and able to trouble shoot minor issues
  • Familiarity with Zoom and other videoconferencing platforms
  • Experience with adult supervision and classroom management is an asset
