Job Summary
Primary Purpose The incumbent provides a broad range of administrative and clerical support within the Residence Services Office and serves as the first point of contact for residents guests and students. This role is responsible for delivering high-quality customer service while providing administrative coordination data entry and operational support to the Residence Office and Consumer Service Maintenance and Facilities teams. The position involves a variety of tasks of moderate complexity and requires sound judgment organization and attention to detail. As a condition of employment the successful candidate must provide a current criminal record check. Nature of Work Reporting to the Assistant Manager Residence Operations and working with a high degree of independence and minimal supervision the incumbent is expected to understand and apply the core values of residence life when interacting and supporting the students residing with us at McEown Park. The role requires working cooperatively with staff and residents to ensure seamless customer service and operational efficiency while providing administrative and coordination support to the Residence Services Administrative and Facilities teams. The incumbent is accountable to the Consumer Services Team Charter and aligns their work with its purpose vision and values holding themselves and others accountable to these guiding principles. Responsibilities include identifying and resolving issues using established methods and practices maintaining strict confidentiality of all information and materials and communicating matters of importance or concern to the immediate supervisor in a timely manner. Collaboration with colleagues is essential to complete assignments support team initiatives resolve conflicts and maintain a respectful and harmonious work environment. Strong organizational skills the ability to set priorities and meeting deadlines are critical to success in this role. The incumbent is expected to comply with all relevant legislation regulations policies and procedures and to actively contribute as a supportive member of the Residence Services Office. Initiative self-motivation and a commitment to continuous learning and professional development are essential with an emphasis on expanding knowledge of Residence Services operations through daily practice. Typical Duties As the primary point of contact for residents and guests living with us in our McEown Park Residence Halls the incumbent provides frontline administrative and clerical support responding to inquiries in person by phone and by email and referring matters as appropriate. The role is responsible for delivering a high standard of customer service resolving resident concerns and providing troubleshooting support related to residence systems and processes. This includes assisting students with the Residence Housing Portal for applications payments and maintenance requests. The incumbent supports Residence Services operations through move-in preparations student check-ins key coding unit bookings and residence turnover requirements. Responsibilities also include receiving and processing payments (debit credit card and cheque) providing word processing and general administrative support to the Residence Services team and creating and updating documents and maintenance notices as directed. The role works closely with maintenance and custodial teams to coordinate required work meet operational timelines and support resident needs. The incumbent also meets with residents to address concerns and completes regular data entry and reporting of moderate complexity within the StarRez system. Additional duties include encoding student ID cards using the PERSONA system; receiving processing and distributing Residence Services forms and notices; maintaining the organization of the McEown Park office electronic records and unit key inventories; supporting cleaning inspections maintenance ticket workflows and unit pest-control treatment schedules; and performing other administrative and operational duties as assigned. Qualifications Education A relevant post-secondary certificate from a recognized post-secondary institution is required. An equivalent combination of education and experience will be considered. Experience Experience in a post-secondary hospitality housing or property management environment is considered an asset particularly where rental accommodation or residence-related processes were supported. Demonstrated experience delivering exceptional customer service and administrative support in a busy office environment is required. Excellent verbal and written communication skills strong organizational and time-management abilities and exceptional attention to detail are essential. The role requires proficiency with Microsoft Office and related technologies along with the ability to assess priorities exercise sound judgment and manage multiple competing responsibilities in a fast-paced environment. The successful candidate will demonstrate initiative adaptability and the ability to work effectively both independently and as part of a collaborative team. Work Location This position operates out of our McEown Park Residence Office and provides in-person support to student residents applicants campus partners and the Residence Services team. The regular work schedule is Monday through Friday with shifts typically occurring between 8:30 a.m. and 4:30 p.m. or 10:00 a.m. and 6:00 p.m. Shifts are subject to change and depending on operational requirements occasional evening and weekend work may be required throughout the year.
