About the Role:

We are seeking an experienced Bilingual Legal Assistant to join our Corporate Law team and provide high-level legal and administrative support to lawyers handling sophisticated corporate transactions. This role offers the opportunity to work on a wide range of business law matters including mergers and acquisitions private equity transactions corporate governance and commercial legal work.

The ideal candidate is highly organized proactive and detail-oriented with the ability to manage multiple priorities in a fast-paced legal environment. Working closely with lawyers clients and internal teams you will play a vital role in ensuring the efficient management of legal matters while delivering exceptional client service and administrative excellence.

Key Responsibilities:

  • Provide comprehensive legal and administrative support to lawyers within the Corporate Law practice.
  • Assist with corporate transactions including mergers and acquisitions private equity matters and general corporate legal work.
  • Proofread edit and format legal documents correspondence presentations and transactional materials to ensure accuracy and consistency.
  • Open maintain and close client files while ensuring compliance with internal procedures.
  • Manage lawyers calendars schedule meetings coordinate appointments and organize business travel arrangements.
  • Prepare and process time entries expense reports invoices and billing documentation.
  • Organize client meetings reserve conference rooms and coordinate catering and audio-visual requirements.
  • Maintain both electronic and physical client files using document management systems.
  • Support billing processes expense tracking invoice processing and payment administration.
  • Assist lawyers with business development initiatives and maintain client relationship databases.
  • Transcribe dictation voice recordings and legal correspondence as required.
  • Coordinate deadlines and ensure timely completion of administrative and legal support tasks.
  • Resolve administrative issues independently while exercising sound judgment and discretion.
  • Provide backup support to other Legal Assistants and collaborate across the team to ensure seamless service delivery.
  • Maintain the highest standards of confidentiality professionalism and client service.

Qualifications:

  • Diploma as a Legal Assistant (AEC) Diploma of Collegial Studies (DEC) in Office Administration or equivalent education.
  • Minimum of five years of experience supporting multiple Corporate Law lawyers preferably within a large law firm or professional services environment.
  • Full professional proficiency in both French and English including excellent written and verbal communication skills.
  • Experience supporting corporate transactions including mergers and acquisitions and private equity matters.
  • Strong knowledge of legal billing processes and experience using Aderant or similar billing software.
  • Proficiency in Microsoft Office Suite Adobe Acrobat Pro digital dictation software document management systems and other legal technologies.
  • Excellent proofreading formatting and document production skills.
  • Strong organizational skills with the ability to manage multiple priorities and tight deadlines.
  • Exceptional attention to detail and commitment to producing high-quality work.
  • Excellent interpersonal communication and client relationship skills.
  • High level of professionalism discretion and confidentiality.
  • Ability to work independently while contributing effectively within a collaborative team environment.
