Associate Employee Records and Benefits
Reporting to the Manager Employee Records and Benefits (ERB) and under the work direction of the Team Coordinator the Associate supports the day-to-day administration of employee benefit programs. The role processes benefit enrolments changes terminations reinstatements and self-pay arrangements; reviews eligibility based on employee status collective agreement provisions policies and carrier requirements; and ensures benefit information is accurately recorded in the HRIS and with benefit carriers. The Associate responds to benefit inquiries from employees managers and internal partners explains coverage and eligibility requirements investigates discrepancies and coordinates with Payroll HR Recruitment Scheduling/Timekeeping benefit carriers the Pension Corporation other employers and government or regulatory agencies to resolve issues. The role also supports benefit audits reconciliations correspondence and the maintenance of accurate employee records required for benefits administration.
What youll do
- Processes employee benefit enrolments changes terminations reinstatements and self-pay arrangements in accordance with employee requests eligibility rules collective agreements policies and benefit carrier requirements.
- Reviews employee status hours leave information and other employment changes to determine impacts to benefit eligibility and coverage and updates the HRIS and benefit carrier systems accurately and within required timelines.
- Responds to employee and manager inquiries regarding benefit eligibility coverage premiums waiting periods life events leaves terminations and continuation options providing clear explanations and escalating complex matters as appropriate.
- Investigates and resolves benefit discrepancies by reviewing employee records payroll deductions carrier information and supporting documentation and liaising with Payroll HR Recruitment Scheduling/Timekeeping benefit carriers the Pension Corporation other employers and government or regulatory agencies.
- Completes benefit-related audits database queries and reconciliations to confirm the accuracy of enrolment and employee data; corrects discrepancies and identifies recurring issues or opportunities for process improvement.
- Prepares employee correspondence related to benefit enrolment changes leaves terminations self-pay options and required documentation and maintains complete and accurate records of transactions and communications.
- Processes employee record changes that affect benefits administration including new hires transfers terminations leaves status changes salary changes and seniority updates.
- Interprets and applies collective agreement provisions organizational policies and benefit plan and carrier requirements when administering benefits and responding to inquiries.
What you bring
Qualifications
A level of education training and experience equivalent to a Diploma in Human Resources
Management Business Administration or a related discipline plus two (2) to three (3) years of recent related experience in benefits or human resources administration preferably in a complex multi-union environment.
- Demonstrated knowledge of the historic and ongoing impacts of settler colonialism on Indigenous Peoples in social and health contexts including supported by significant knowledge of Indigenous-specific mandates including clear understanding of and commitment to eradicate Indigenous-specific racism and discrimination and embed Indigenous Cultural Safety and Humility.
- Demonstrate comprehensive knowledge of the historic and ongoing impacts of settler colonialism and systemic racism on Indigenous Peoples within social and health contexts. This includes understanding how these factors contribute to current health disparities and barriers to care. Show a clear commitment to identifying challenging and eradicating Indigenous-specific racism and all forms of discrimination impacting equity-deserving groups within health care settings. This involves familiarity and understanding Indigenous Cultural Safety and Humility recognizing personal biases institutional barriers engaging in anti-racism education and training and advocating for systemic change.
- Demonstrated knowledge and understanding of legislative obligations and provincial commitments within the program contexts found in the foundational documents including Truth & Reconciliation Commissions Calls to Action (2015) In Plain Sight (2020) BCs Declaration on the Rights of Indigenous Peoples Act (2019) United Nations Declaration on the Rights of Indigenous Peoples (UNDRIP) Reclaiming Power and Place Missing and Murdered Indigenous Women & Girls Calls for Justice (2019) the Declaration Act Action Plan and Remembering Keegan: A First Nations Case Study - BC Human Rights Code BC Anti-racism Act and how they intersect across the health care system.

- Brings an understanding of the Indigenous specific racism and the broader systemic racism that exists in the colonial health care structure and has demonstrated initiatives in breaking down barriers and ensuring a safe environment ensuring a sense of belonging to all and informed by Indigenous Cultural Safety.
- Awareness of social economic political and historical realities of settler colonialism on Indigenous Peoples and familiarity with addressing Indigenous-specific anti-racism anti-racism and Indigenous Cultural Safety and foundational documents and legislative commitments (the Declaration Act the Declaration Action Plan TRC IPS Remembering Keegan etc.).
Skills & Knowledge
- Demonstrated experience administering employee benefit enrolments changes terminations eligibility and related employee records.
- Ability to interpret benefit plan provisions collective agreements policies and carrier requirements and explain them clearly to employees and managers.
- Strong attention to detail analytical and problem-solving skills with experience reviewing data investigating discrepancies and maintaining accurate records.
- Effective verbal and written communication skills and the ability to manage confidential employee information with discretion.
- Skilled in the use of HR information systems and computer applications such as Microsoft Office applications as well as familiarity with enterprise systems and digital platforms.
- Demonstrates a commitment to beginning and/or continuing their personal learning journey related to Indigenous-specific racism and dismantling systems of oppression as well as addressing racism more broadly. Shows willingness to articulate and share their learning experiences to contribute to a culture of motivation and inspiration among peers.
- Demonstrates foundational knowledge of the social economic and political realities of settler-colonialism and its impacts on Indigenous peoples and equity-deserving groups within social and health contexts. Understands the impact of social determinants of health-on-health outcomes. Job Type:Temporary Casual
Salary Range:$33/hour - as a casual employee total earnings include an additional 13% in lieu of benefits and paid vacation. The rate for this position would be determined with consideration of the successful candidates relevant education and experience and would be in alignment with the provincial compensation reference plan
