Location - This role is hybrid with a mix of remote and in-person work at North Campus Edmonton and the Royal Alexandra Hospital (RAH).

Some travel to distributed or rural learning sites may be required. Working hours can be up to 18:00 as needed to support meetings and events.

Working in a collaborative environment this position provides administrative support for residency expansion distributed sites academic administration special projects and other initiatives within the PGME office.



Responsibilities
  • Supports the Regional PGME Expansion Lead; collaborates with them and other PGME leadership in the development of residency expansion priorities and activities
  • Supports distributed site processes including orientations evaluation processes accreditation reviews and more; primary RAH site administrator for PGME trainees
  • Facilitates a wide variety of academic administrative processes including electives sponsored trainee applications and assessments; collects monitors and verifies program completion status (e.g. CCTs NERs CCAs)
  • Coordinates the annual PGME Awards processes including program/department-specific funded/endowed awards for trainees and PGME-specific awards for trainees administrators and faculty
  • Collaborates with and provides support to the PGME Leadership including on special projects with the three PGME Team Leads clinical teaching payments government reporting and more
  • Orchestrates the logistics for major annual and recurring PGME events
  • Leads PGME Communications such as curating/drafting newsletter content making creative/aesthetic design choices and ensuring the integrity of distribution lists
  • PGME superuser for various software tools and platforms (e.g. Cascade Campaign Monitor FARM)
  • Collaborates with attends and supports a number of PGME committees subcommittees working groups and standing meetings


Qualifications
  • Undergraduate degree in a relevant discipline preferred; minimum post-secondary business administration or related certificate. Equivalent combination of education and experience will be considered
  • 3-5 years of experience in a medical education and/or academic environment; involvement in post-secondary education at an administrative level an asset
  • Three (3) years of increasingly responsible administrative experience
  • Computer proficiency in a Windows environment using MS Microsoft applications (Word PowerPoint Excel)
  • Advanced experience with Google Apps (Mail Drive Docs Sites Calendar Meet)
  • Familiar with a variety of other electronic platforms and software an asset (e.g. Zoom Adobe Acrobat Pro Cascade Campaign Monitor etc.)
  • Excellent interpersonal skills with the ability to interact and work with diverse individuals and organizations
  • Excellent editorial and proofreading skills
  • Exceptional written and oral communication skills; experience taking minutes
  • Strong accuracy and attention to detail
  • High level of tact and discretion; must be able to maintain absolute confidentiality
  • Strong organizational and planning skills
  • Proven ability to prioritize and manage multiple and diverse tasks under minimal supervision
  • Ability to take initiative and exercise sound judgment
  • Ability to deal with a complex work environment
  • Good working knowledge of the University of Alberta PGME and AHS/RAH policies procedures and guidelines an asset
