Administrative Assistant
The Government of Alberta Appeals Commission is seeking a Temporary Appeals Assistant to provide administrative hearing coordination records management and client/stakeholder support for workers compensation appeals.
The AA will support Appeals Officers Hearing Chairs Vice Chairs Commissioners and external appeal parties. Responsibilities include pre-hearing administration hearing coordination document management status tracking client support proofreading formatting and distribution of appeal decisions.
- Prepare and distribute Appeals Officers correspondence.
- Create and maintain Appeal Document Package (ADP) indexes.
- Coordinate pre-hearing activities and communicate hearing information to parties and panels.
- Support in-person teleconference and video hearings.
- Attend record and troubleshoot technical/process issues during hearings.
- Respond to client and stakeholder inquiries and provide support during difficult or crisis situations.
- Maintain accurate appeal statuses and timelines in ACES.
- Maintain appeal files records and documentation.
- Format proofread and edit Hearing Chair decisions.
- Review documents for style formatting policy and legislative references.
- Provide plain-language editing feedback.
- Prepare final decisions for publication and distribution through CanLII.
- Work with internal teams vendors and stakeholders to coordinate activities and achieve objectives.
- Perform administrative and records/information management duties while maintaining privacy and security requirements.
- High School Diploma/GED.
- 2 years adapting to new business environments and working with business/technical teams vendors and stakeholders.
- 2 years experience using Microsoft Office Suite.
- 2 years working in a fast-paced environment troubleshooting/problem-solving independently and as part of a team.
- 2 years relevant experience in a role similar to Appeals Assistant.
- 2 years working directly with clients/stakeholders to identify gather document and analyze business data and process requirements.
- Strong communication organization accuracy and attention to detail.
- Post-secondary degree diploma or certificate in Office Administration or related field.
- 2 years Information Governance Records Management or Information Management.
- 2 years experience with information management privacy and security concepts related to ATIA and POPA (formerly FOIP).
- 2 years working directly within Government of Alberta 1GX or comparable Canadian public-sector ERP environments.
- 2 years experience working with workers compensation systems such as WCB.
