Access and Equity Services Exam Program Assistant, Teaching, Learning and Student Experience

Summary:

The exam program delivery and clerical assistant supports the administration of the departments exam program by coordinating the secure handling tracking and return of examinations while maintaining strict confidentiality and exam security. This role provides administrative and operational support through data entry and record management preparing and distributing exam materials responding to inquiries and performing other administrative tasks. This position also assists students instructors and staff helps address sensitive situations and supports exam invigilation activities.

Duties and Responsibilities:

• Receives sorts files and tracks completed examinations within established daily timelines maintaining exam security and confidentiality at all times
• Delivers completed examinations across campus in alignment with exam security and confidentiality protocols
• Prepares examination materials by printing packaging sorting bundling and securely distributing examination copies
• Performs data entry generates reports and retrieves examination-related information using internal systems
• Monitors inquiries and provides timely responses to students instructors invigilators and other department staff
• Invigilates examinations and provides reading or scribing accommodations
• Maintains examination and administrative records through filing organizing documentation and record-keeping
• Responds to immediate concerns involving students disability-related matters staffing or academic integrity
• Maintains a supportive and welcoming exam environment in collaboration with team members
• Communicates and acts in a respectful and professional manner collaborates effectively abides by policy and contributes to a positive and productive work and learning environment
• Engages in continuous learning byparticipatingin activities training and events related to Indigenous engagement reconciliation equity diversity and inclusion
• Demonstrates respect and dignity for all members of the community actively contributes to an environment of acceptance and inclusion ofothers andresponds to different perspectives from a place of curiosity respect and non-judgement
• Undertakes related duties as assigned consistent with the nature of the position

Qualifications:

• A high school diploma or equivalent
• Minimum of one year of front-line customer service experience including experience in exam invigilation student services or academic support
• Ability to navigate campus and transport heavy materials for extended periods of time
• Knowledge of institutional policies and procedures related to examinations and accommodations
• Understanding of equity accessibility and human rights principles
• Ability to handle sensitive confidential and high-stress interactions
• Strong communication and customer service skills
• Ability to work in a fast-paced environment with frequent interruptions
• Effective organizational and time-management skills
• Ability to work effectively both independently and collaboratively in a team
• High attention to detail and accuracy
• Proficient computer skills including Microsoft Office applications and the ability to learn specialized systems such as Accommodate
