Duties & Role:

  • Support the planning coordination and monitoring of technical projects and activities ensuring that milestones deliverables and deadlines are appropriately tracked.
  • Coordinate project-related activities across technical teams management and other stakeholders ensuring effective communication alignment and timely follow-up.
  • Develop and maintain project documentation including project plans schedules action trackers risk and issue registers status reports and meeting minutes.
  • Monitor project progress and performance against agreed plans milestones and objectives identifying delays risks dependencies and potential issues.
  • Prepare regular management and project status reports dashboards and presentations providing clear and accurate information on progress risks issues and required decisions.
  • Organize and support project meetings workshops and governance activities including preparing agendas coordinating participants recording decisions and following up on agreed actions.
  • Act as a central coordination point for project-related information and communication facilitating collaboration between technical teams project stakeholders management and external suppliers where applicable.
  • Support resource workload and activity planning maintaining visibility of ongoing priorities assignments and project commitments.
  • Contribute to the continuous improvement of project coordination and governance processes identifying opportunities to improve planning reporting communication documentation and overall delivery effectiveness.

Specific Working Conditions: Some work outside normal office hours may be required.

Up to 50 TDY within Belgium per year.



Requirements

Skills Knowledge & Experience:

  • The candidate must have a currently active NATO SECRET security clearance
  • A Masters degree in Project Management Business Administration Information Technology Engineering or another relevant field.
  • A minimum of 5 years of professional experience as a Project Coordinator Project Support Officer PMO Officer Project Assistant or in a similar role supporting the coordination and delivery of projects.
  • Demonstrated experience coordinating multiple projects or workstreams simultaneously within a complex organizational environment.
  • Proven experience in developing and maintaining project plans schedules action trackers risk registers and project documentation.
  • Professional certification in PRINCE2 PMP Agile Scrum or a similar project management framework would be considered an asset.
