What this opportunity involves:
We are seeking a proactive and experienced Facilities Coordinator to join our Melbourne team where youll play a vital role in creating a safe well-maintained and welcoming environment for employees and visitors. The ideal candidate will be adaptable quick-thinking and able to manage multiple priorities with exceptional efficiency and attention to detail. This role requires 100% on-site presence and offers the chance to make a tangible impact on how our teams experience their workspace every day.
An Overview of the role:
- Conduct thorough routine inspections of all assigned buildings and spaces ensuring facilities are in excellent condition and meet operational standards
- Manage and prioritise facilities-related service requests through internal ticketing systems including Jira Service Desk and Corrigo responding swiftly to maintain seamless operations
- Ensure compliance with Workplace Health and Safety policies by maintaining safety procedures managing emergency protocols and conducting regular safety checks
- Coordinate fire warden and first aid training programs for relevant staff fostering a culture of safety and preparedness
- Liaise with building management and external vendors to ensure all maintenance and repair work is completed to the highest standards
- Oversee routine maintenance of facilities and equipment troubleshooting issues proactively to minimise disruption
- Collaborate with Guest Service and event teams to coordinate facilities management tasks for in-office events ensuring smooth operations and an enhanced workplace experience
- Assist in preparing purchase orders budgetary requests and financial reporting while tracking operating expenses and implementing cost-saving measures
- Maintain clear communication with internal teams and external stakeholders working closely with management at all levels to ensure smooth facility operations

- Proven facilities management experience or technical background in building systems and maintenance
- Excellent problem-solving troubleshooting and organisational skills with the ability to manage competing priorities in a fast-paced environment
- Exceptional attention to detail and time management skills with demonstrated ability to handle multiple tasks simultaneously
- Proficiency in facilities management software and G-Suite tools is a plus
- Solid understanding of building systems and maintenance procedures including HVAC electrical plumbing and safety systems
- Strong interpersonal and communication skills with the ability to interact effectively with staff at all levels including C-Suite executives and external stakeholders
- Demonstrated commitment to maintaining a safe and healthy workplace environment
- Floor Fire Warden certification is desired or willingness to obtain certification
