BACKGROUND AND PURPOSE OF THE ASSIGNMENT:

The United Nations Country Team (UNCT) in Jordan has initiated the development of the United Nations Cooperation Framework (UNCF) which will define the collective contribution of the UN system to Jordans national development priorities over the next programming cycle. The process builds on the findings of the Country Analysis and identifies several areas of collective cooperation where the United Nations can provide strategic value and technical support.

Within this process WFP is expected to play an active role across several thematic areas particularly in those linked to food security food systems transformation social protection digital innovation resilience and economic inclusion. WFP contributes directly to the proposed areas of cooperation on Food Systems Social Protection Economic Growth Environment and Digitalization while also supporting broader UN reform objectives through active engagement in inter-agency coordination mechanisms.

As part of the evolving UN Reform agenda and the strengthened role of the UN Country Team under the Resident Coordinator system WFP Jordan seeks to enhance staff awareness and engagement on UN Reform priorities strengthen internal coordination mechanisms and support management participation in Cooperation Framework consultations and Result Group discussions.

Particular focus will be placed on supporting WFPs engagement in:

1. Food Systems Transformation

2. Result Group 3 (RG3) Coordination

3. UN Reform Information Dissemination

4. Coordination and Consultation Processes

To support these efforts WFP seeks a Business Support Assistant (BSA Level 2) who will provide dedicated coordination administrative information management and stakeholder engagement support to management throughout the Cooperation Framework development process and related UN coordination activities.

ACCOUNTABILITIES/RESPONSIBILITIES:

Coordination and Administrative Support:

Support the Country Director Deputy Country Director and designated focal points in coordinating WFPs participation in UN Cooperation framework -related activities.

Maintain and update action trackers workplans timelines and monitoring tools related to the Cooperation Framework process.

Schedule meetings consultations and bilateral engagements with UN agencies and government counterparts.

Prepare meeting invitations agendas and logistical arrangements.

Record and disseminate meeting minutes action points and follow-up requirements.

Monitor deadlines and support timely submission of inputs from relevant WFP units.

Support the preparation and dissemination of internal communication materials related to UN Reform and the Cooperation Framework process.

Infromation and Knowledge Management:

Establish and maintain an organized electronic filing system for all relevant documents.

Ensure key documents reports presentations and meeting records are properly archived and accessible.

Support preparation of periodic progress updates and briefing notes for management

Assist in developing briefing packages presentations fact sheets and informational products for staff.

The incumbent will contribute to:

Updated Cooperation Framework action tracker.

Meeting minutes and follow-up logs.

Repository of UN Reform and UNSDCF-related documents.

Coordination support for webinars and staff engagement activities.

Consolidated reports from consultations meetings and RG3 discussions.

Monthly progress summaries for management.

QUALIFICATIONS & EXPERIENCE REQUIRED:

Education: Completion of secondary school education. A post-secondary certificate in Business Administration Public Administration International Relations Social Sciences Communications or a related field is desirable..

Experience:

Experience organizing meetings workshops and stakeholder engagement activities.

Experience working with UN agencies NGOs government institutions or development partners is an advantage.

Familiarity with UN coordination mechanisms is desirable.

Knowledge & Skills:

Strong organizational and planning skills.

Excellent drafting and note-taking abilities.

Strong interpersonal and communication skills.

Ability to manage multiple tasks and priorities.

Proficiency in Microsoft Office applications Teams SharePoint and other collaboration tools.

Attention to detail and ability to work under tight deadlines.

Languages: Fluency in both English and Arabic
