CORE JOB RESPONSIBILITIES
Responsible for the optimal use of office accommodation furniture equipment and supporting services.
Activities include planning maintenance and replacement purchasing and making lease insurance and supply arrangements.
Individual contributor with comprehensive knowledge in the specific area.
Ability to execute highly complex or specialized projects.
Adapts precedent and may make significant departures from traditional approaches to develop solutions.
Responsibilities & Accountabilities
- Applies highly developed specialist knowledge and skills in undertaking range of administrative activities including assisting management in developing related policies and procedures.
- Role is tasked with performing a variety of administrative tasks and liaise with supervisors and management to ensure that office administration policies programs and activities are appropriate for their current and future business needs.
- Support planning of maintenance activities and upgrades to equipment facilities and systems to minimize disruptions to business activities and use the organisations resources effectively.
- Independently researches and evaluates office supplies and equipment purchases to minimize costs and meet the organisations business needs.
- May recommend external suppliers (for example cleaning or maintenance contractors or equipment vendors) to ensure the organisation receives satisfactory standards of service Manages GMs Agenda and provide support to the management team.
- Meeting organizations and minutes of meeting record
- Document translation English / French
- External & Internal correspondence
- Senior support role tasked with administration of general business office activities.
- Role holder is capable of analysing complex information requests and determining complex trends.
- Manage the EHS related matters including reporting and awareness communications
- Assist the business in contract management maintain contract related electronic and hardcopy files and records
- Assist the business in Compliance management matters manage the Compliance Committee and the OEC trainings
Quality
- Ensure compliance with quality SOPs and regulatory requirements in the area of responsibility.
- Ensure Training is completed as Planned
Qualifications:
- Bachelors degree.
- Advanced level spreadsheet experience.
- Fluent French language in addition to fluent English. Arabic a plus
- Strong systems background (Planning system / Microsoft)
- Excellent communication skills in liaising with different functional stakeholders
