The position for the Office/Project Coordinator includes the below roles and responsibilities:
Office/Project Coordinator
- Under general supervision resolves most problems but refers more complex issues to higher levels
- Processes documents (including indexing into database and/or enterprise content management system).
- May serve as a resource to others in the resolution of problems and issues.
- May orient train assign and check the work of lower level employees.
- Serve as a secondary liaison between project clients and the URS team supporting the GM and PMs.
- Prepare client-related project requirements including contractor ID applications and portal account management.
- Manage document control processes: receive organize and archive drawings reports emails and other project-related documents.
- Coordinate project resources including:
- Digital archiving of daily project records.
- Preparation of documentation.
- Tracking of file formats and technical equipment (calibration certification usage).
- Assist GM and PMs in developing proposals reports schedules scope statements and project plans.
- Monitor project progress and team performance; provide updates to stakeholders.
- Handle daily correspondence: distribute incoming letters prepare meeting minutes and maintain records of RFIs transmittals and client communications.
- Supervise and train new administrative assistants and document controllers especially in:
- Aramco ID applications.
- Staff training records.
- Equipment tracking and calibration.
- Documentation and archiving.
- Updating office and business certificates
