As we stride forward we seek a dynamic individual to join us as a Front Desk Administrator and Bookkeeper. This role is for those who shine in vibrant settings and are adept with QuickBooks handling financial documentation orchestrating schedules engaging with customers addressing inquiries and managing a plethora of administrative duties with unwavering precision and professionalism.

Role Highlights

  • Proficiency in QuickBooks is paramount for supervising financial undertakings notably accounts payable and receivable.
  • Exemplary organizational acumen is crucial for efficient scheduling managing contracts and vendor negotiations.
  • Stellar communication skills are essential for fielding inquiries welcoming guests and ensuring fluid communication internally and externally.
  • A proactive demeanor is indispensable for the continuous improvement and maintenance of critical company systems and documentation.

Key Responsibilities

  • Comprehensive management of QuickBooks including accounts receivable and payable.
  • Update and maintain accurate contact and financial transaction records.
  • Serve as the primary contact for our clientele and visitors.
  • Coordinate payroll schedule meetings and manage appointments efficiently.
  • Administer the acquisition and oversight of office supplies and contractual agreements.
  • Monitor and manage office budgets and expenses to maintain financial wellbeing.
  • Allocate and prioritize tasks to ensure efficient departmental workflow.
  • Facilitate the processing reviewing and analyzing of payments and invoices.
  • Innovate and refine office protocols to enhance operational efficiency.
  • Assist in document management and maintenance coordination for office equipment.

Qualifications

  • 23 years of experience in administrative support secretarial or bookkeeping roles.
  • Indepth knowledge of accounting and bookkeeping principles.
  • Proficiency in QuickBooks Google Workspace and other relevant software applications.
  • Superior organizational and time management skills.
  • Ability to multitask prioritize effectively and work independently or as part of a team.
  • Strong interpersonal and customer service skills with a focus on detail and reliability.

Position Details

  • Fulltime role 40 hours per week.
  • Benefits: 401(k) matching paid time off and comprehensive health insurance.
  • Regular schedule: 8hour shifts daytime Monday through Friday.
  • Location: Southington CT 06489. Commute/relocation required.
  • Preferred experience: Customer service (3 years) accounting/bookkeeping (2 years required) accounts payable/receivable (2 years).
