Description:

Key Responsibilities:

  • Manage and maintain the executives calendar including scheduling meetings appointments and travel arrangements.

  • Prepare review and organize correspondence reports presentations and other documents.

  • Act as a primary point of contact between the executive and internal/external stakeholders demonstrating professionalism and confidentiality.

  • Coordinate and facilitate high-level meetings including preparing agendas taking minutes and following up on action items.

  • Handle sensitive and confidential information with discretion and integrity.

  • Assist in the preparation of reports presentations and other materials for meetings and strategic initiatives.

  • Manage expense reports budgets and procurement processes related to the executives office.

  • Support special projects and initiatives as assigned by the executive team.

  • Liaise with other departments and external partners to ensure seamless communication and coordination.

  • Anticipate needs and proactively address potential issues to support the executives productivity.

  • Maintain organized filing systems both electronic and physical.

Required Skills & Experience:

  • 5 years of experience as an Executive Assistant or in a similar senior administrative role.

  • Exceptional organizational and time-management skills.

  • Strong written and verbal communication skills.

  • High level of discretion and confidentiality.

  • Proficiency in MS Office Suite (Word Excel PowerPoint Outlook) and calendar management tools.

  • Ability to multitask and prioritize in a fast-paced environment.

  • Strong problem-solving and decision-making abilities.

  • Excellent interpersonal skills and professionalism.

  • Experience supporting C-suite executives or senior leadership.

Preferred Qualifications:

  • Bachelors degree or equivalent professional experience.

  • Experience with travel booking and expense management tools.

  • Familiarity with project management tools or enterprise software.

  • Ability to adapt to changing priorities and work under pressure.
