About the role
BLR WORLD is seeking a Project Coordinator to support the Project Manager in the administration coordination and of the International Conference. This role is highly administrative and requires an organized and detailoriented professional who can manage schedules follow up on deliverables track documentation and facilitate seamless communication between teams.
The Project Coordinator will ensure that all project timelines are adhered to tasks are completed and that all necessary paperwork approvals and communications are documented accurately.
The ideal candidate must be fluent in both Arabic and English (written and spoken) highly proficient in Microsoft Office and project management tools and have experience handling administrative and operational tasks in a fastpaced environment.
Responsibilities
Project Coordination & Admin Support
Maintain project timelines trackers and schedules.
Draft and distribute meeting minutes (MOMs) reports and project updates.
Organize and track project documentation approvals and contracts.
Ensure all project communications and deadlines are followed up on.
Manage calendars meetings and followups.
Schedule internal and external meetings ensuring all stakeholders are informed.
Liaise with vendors agencies and partners to track deliverables.
Assist in speaker travel accommodations and transportation coordination.
Support venue logistics event setup and scheduling.
Ensure necessary permits and approvals are in place.
Reporting & FollowUps
Track and update project progress reports risks and action plans.
Maintain an updated dashboard with key milestones.
Archive and organize all necessary project files.
Candidate Requirements
Fluent in both Arabic and English (spoken & written).
2 years of experience in project coordination administration or event management.
Strong organizational skills with attention to detail.
Ability to multitask and manage deadlines effectively.
Proficiency in Microsoft Office (Word Excel PowerPoint) and project management tools (Monday Trello Asana or similar).
