Job Summary
The Group Leader Site Support is responsible for overseeing the daily operations of the site support function ensuring efficient planning allocation and logistical coordination of personnel across multiple project sites. This role leads a team of Site Support Specialists ensuring manpower coordination meets project needs while complying with internal policies and external regulatory requirements. The Group Leader also acts as a key liaison between site teams account management & development and support services contributing to continuous improvement and operational excellence in mobility administration and compliance across the region.
Key Responsibilities:
Team Leadership & Operational Oversight:
- Lead and supervise Site Support Specialists to ensure consistent planning and coordination of manpower and logistics across all active sites.
- Review and validate project-specific manpower forecasts working closely with Project and Field Service Managers.
- Support site supervisors in coordinating human and logistical resources.
- Monitor workload distribution and align resources with business priorities escalating gaps or overcapacity as needed.
- Organize site logistics including transportation tool/equipment deliveries and material supplies.
- Provide guidance on workforce mobility ensuring appropriate handling of accommodation transportation PPE and work permit arrangements.
- Ensure that certifications and competencies of all site personnel are verified and kept up to date in relevant systems.
- Lead and guide the team by our company Leadership Principles ensuring full engagement and commitment.
Administrative Coordination & Stakeholder Support:
- Act as the central coordination point for site support administration ensuring alignment across functions (e.g. P&C Finance Project Execution).
- Guide the team in managing incoming customer and supplier communications and maintaining accurate contact data.
- Ensure timely and accurate documentation for internal processes work instructions and project correspondence.
- Support invoicing and billing activities for minor project elements and assist with internal cost tracking.
- Oversee general office and workshop logistics such as mail handling visitor coordination and site-specific facilities support.
Compliance & Collaboration:
- Lead the implementation of internal standards and ensure team adherence to QHSE policies and mobility compliance requirements.
- Oversee documentation and resolution of deviations improvement actions and lessons learned using the companys management system.
- Drive continuous improvement initiatives within the site support function standardizing practices and contributing to higher service quality and operational reliability.
- Represent the support team in status and planning meetings to provide insights and ensure service readiness for upcoming projects.
Local specificities:
- Tooling & equipment management including import/export logistics and inventory control for site support operations.
- Supplier price comparison and procurement benchmarking to secure competitive pricing for tools equipment and materials.
- Recruiting and staffing of Site Support Specialists and related site support personnel.
- Oversight of local warehouse operations including receiving storage and dispatch of tools and materials.
- Oversight of manufacturing-related purchasing and costing activities supporting site support operations.
Key Performance Indicators (KPIs):
- On-time delivery of tools equipment and materials to project sites.
- Tooling and equipment inventory accuracy (%).
- Cost savings achieved through price comparison and supplier negotiation.
- Timeliness and accuracy of import/export and customs documentation.
- Compliance with QHSE and internal procedures.
Qualifications :
Qualifications & Experiences:
- Higher education or technical diploma in Business Administration Logistics or a related field is preferred.
- 5 years experience in operational or administrative coordination within an industrial or service setting.
- Experience in working in a matrix organization.
- Strong knowledge of manpower planning logistics and resource coordination.
- Advanced IT proficiency in business applications including field service management tools
- Fluent in the local language and English another language is a plus.
