Summary:
The Wealth Management Operations Manager is responsible for overseeing the day-to-day operational functions of OneDigitals Wealth Management division. This role ensures that all operational processes are executed accurately efficiently and in compliance with regulatory and firm standards. The Operations Manager serves as a key resource for internal teams and branch offices driving consistency quality and continuous improvement across operational workflows.
Essential Duties and Responsibilities (includes but is not limited to):
Daily Operations & Workflow Management
Oversees and manages daily operational workflows across the Wealth Management division ensuring accurate and timely execution.
Monitors and maintains system accuracy across custodial portfolio management and CRM platforms; oversees data reconciliation and directs resolution of discrepancies identified by the team.
Owns service level agreement (SLA) performance across the operations team; monitors throughput error rates and ticket backlog identifying and addressing bottlenecks proactively.
Maintains deep familiarity with all team functions to provide escalation support coverage guidance and informed leadership during peak periods or staffing gaps.
Account Administration & Quality Assurance
Oversees the end-to-end account onboarding and maintenance workflow ensuring accurate and timely execution of new account setup documentation and custodial processes by the team.
Provides oversight and quality review of billing events fee corrections refund calculations and custodial financial adjustments processed by the team ensuring full accuracy and compliance.
Implements and monitors quality assurance controls across all operational workflows; proactively identifies operational risks and develops mitigation strategies escalating material issues to the Senior Director.
Compliance & Regulatory Adherence
Partners with compliance to ensure adherence to regulatory standards and internal policies.
Adheres to compliance standards and the Code of Conduct applicable to OneDigital Investment Advisors and broker-dealer operations.
Develops maintains and audits standard operating procedures for ongoing wealth operations.
Technology Vendor & Platform Management
Coordinates with custodians software providers and vendors to resolve operational issues.
Champions technology and platform enhancements coordinating with vendors and the Senior Director to evaluate pilot and implement system improvements.
Supports new firm and system integration onboarding efforts serving as the operational liaison between the team and the Senior Director to ensure smooth transitions and accurate account migration.
Reporting & Continuous Improvement
Generates reviews and distributes operational reporting and metrics to leadership.
Leads the design and implementation of operational improvements coordinating with internal departments to evaluate develop and scale best practices across the Wealth Management division.
Participates in cross-functional meetings to address operational challenges and track performance.
Leadership & Team Development
Leads and develops direct reports including regular one-on-one meetings and performance feedback.
Provides training and support to internal team members and branch offices on platforms and procedures.
Serves as a primary point of contact for operational escalations from advisors branch offices and internal teams.
Fosters strong relationships across OneDigitals Financial Services Division to maximize service delivery.
Qualifications Skills and Requirements:
Strong attention to detail with a high level of accuracy.
Ability to communicate clearly and effectively in written verbal and presentation settings adapting style to audience.
Excellent customer service orientation.
Strong interpersonal communication skills including frequent phone and email interaction.
Effective organizational and time management skills with the ability to prioritize multiple tasks.
Proficiency with general office equipment and standard business technology.
Advanced computer skills including Microsoft Office Suite Salesforce and Smartsheet.
Sound judgment and problem-solving skills involving advanced or technical concepts.
Demonstrated initiative in addressing issues beyond established standards.
Ability to work independently with minimal supervision.
Working knowledge of investment terminology and account structures.
Education:
Bachelors degree in Business Administration Finance Accounting Economics orrelatedfield preferred.
Experience:
57 years of experience in operational management within the investment or financial services industry required.
Experience with Schwab Fidelity and/or Raymond James platforms required.
Experience with Orion Advisor Technology or comparable platforms (e.g. Tamarac Black Diamond) required.
Your base pay is dependent upon your skills education qualifications professional experience and addition to base pay some roles areeligible for variable compensation commission and/or annual bonus based on your individual performance and/or the companys performance.
