- Manage executive calendars schedule meetings and coordinate appointments across multiple time zones with precision and flexibility
- Handle email correspondence prioritize incoming messages and draft professional communications on behalf of team members
- Prepare comprehensive reports presentations and meeting summaries with meticulous attention to detail
- Organize and maintain digital files documents and databases using systematic categorization and naming conventions
- Coordinate projects and tasks across departments ensuring smooth communication and timely completion of deliverables
- Provide customer-focused support by responding to inquiries and resolving issues promptly and professionally
- Manage travel arrangements expense reports and administrative documentation as needed
- Assist with data entry verification and maintenance of company systems and spreadsheets
- Support event planning and coordination for team meetings conferences and company functions
- Utilize various software tools and platforms to streamline workflows and enhance productivity
- Maintain strict confidentiality and adhere to company policies and data protection guidelines
- Communicate effectively with team members and supervisors through virtual platforms demonstrating strong interpersonal skills
- Adapt quickly to new tools technologies and processes while continuously seeking opportunities for improvement
Qualifications :
**Required Skills and Experience:**
- Minimum 2 years of professional experience in virtual assistance administrative support or related field
- Advanced proficiency in Microsoft Office Suite (Excel Word Outlook PowerPoint)
- Proficiency in Google Workspace tools (Docs Sheets Calendar Gmail)
- Comfortable and experienced with digital communication platforms (Zoom Slack Microsoft Teams)
- Excellent typing speed and accuracy (minimum 40 WPM)
- Strong written and verbal communication skills with professional tone and clarity
- Exceptional organizational and time management abilities
- Demonstrated ability to multitask and prioritize assignments effectively under minimal supervision
- Proven attention to detail with a commitment to accuracy and quality
- Strong problem-solving and analytical mindset
**Required Education:**
- High school diploma or equivalent
**Preferred Qualifications:**
- Associate degree or certification in business administration office management or related field
- Experience with Customer Relationship Management (CRM) software
- Familiarity with project management tools (Asana Trello)
- Basic knowledge of bookkeeping or accounting software
- Experience with social media management or content coordination
- Knowledge of database management and document control practices
- Previous experience supporting C-level executives or senior management
