Job Summary
Were looking for an organized proactive Virtual Assistant to support our real estate team with administrative marketing and client-facing tasks. Youll help keep transactions moving smoothly manage communications and free up our agents to focus on closing deals.
Key Responsibilities
- Manage and respond to emails calls and text inquiries from clients and leads
- Schedule and confirm property showings inspections and closings
- Maintain and update CRM with leads and client data
- Draft format and send listing materials brochures and marketing emails
- Coordinate MLS listing entry updates and photo uploads
- Prepare and organize documents for transactions
- Track transaction deadlines and ensure compliance paperwork is complete
- Manage social media posting and basic content scheduling
- Conduct market research and pull comparable sales
- Handle basic bookkeeping tasks invoicing or expense tracking
- Coordinate with title companies lenders and other vendors as needed
- Manage calendars and provide general administrative support to agents/broker
Qualifications
- Previous experience as a VA administrative assistant or in real estate (preferred)
- Familiarity with real estate terminology MLS systems and transaction processes is a plus
- Strong written and verbal communication skills
- Proficient in Google Workspace / Microsoft Office
- Experience with CRM software and basic marketing tools (Canva Mailchimp etc.)
- Highly organized with strong attention to detail
- Ability to manage multiple priorities and meet deadlines independently
- Reliable internet connection and quiet home workspace
