Real Estate Transaction Coordinator

Summit Sothebys International Realty is looking for a detail-loving solution-driven Senior Transaction Coordinator / Real Estate Administrative Assistant to help power our residential transactions from listing to closing. You are the calm in the chaos the steady hand in the process and the person our agents trust to make sure nothing slips through the cracks.

What Youll Be Doing

  • Youll take ownership of the transaction process from start to finish
  • Managing residential real estate transactions from listing to closing
  • Reviewing contracts disclosures and addenda for accuracy and compliance
  • Serving as the central point of communication between agents clients and title/escrow
  • Tracking deadlines and contingencies to ensure smooth on-time closings
  • Keeping files audit-ready and fully compliant with brokerage and state requirements
  • Problem-solving proactively when challenges arise
  • Maintaining organized digital records in our transaction management systems
  • Supporting agents with documentation timelines and process clarity
  • Identifying smarter more efficient ways to improve workflows
  • Upholding the elevated service standards that define Summit Sothebys

About You

Youre not just organized. Youre unshakeable under pressure proactive and energized by responsibility.

You likely have:

  • 2 years of Utah Idaho Nevada or California residential transaction management experience
  • Strong knowledge of Utah contracts and compliance (Idaho Nevada or California experience is a plus)
  • The ability to manage multiple transactions with minimal supervision
  • A calm solutions-first mindset
  • High accountability and attention to detail
  • A desire to grow long-term within real estate operations
  • Strong communication skills and the ability to connect with different personalities
  • Confidence using Google Workspace Microsoft Office and Apple products
  • A natural curiosity about systems and technology that increase efficiency
