JOB SUMMARY

This position provides a wide range of support to the school. Responsibilities include secretarial support front office support accounting support and facilities support. The middle school support secretary maintains records performs clerical tasks prepares reports and provides customer service to students parents and staff

DUTIES AND RESPONSIBILITIES

This list of essential functions is not exhaustive and may be supplemented as necessary in consultation with the employee(s) involved. Duties may vary from position-to-position or school-to-school based on the employee(s) specific assignment.

  1. Enters updates and maintains data in computerized systems. Prepares and generates daily and monthly reports inputs student information and applies various school and District procedures.
  2. Acts as receptionist for the attendance office. Greets students administrators staff parents and visitors; answers the telephone and responds to inquiries; records messages for students and staff; screens calls; receives and distributes mail.
  3. Composes formats edits and types correspondence reports forms notices and other related materials; arranges and maintains hard copy files books and other materials. May provide secretarial support to administrators librarians and counselors.
  4. Maintains confidential student attendance data; verifies absences and/or notes; inputs student registration data class schedule changes attendance waivers grades and other information involving student transcripts; registers and creates files for new students.
  5. Maintains copiers and other office equipment; assists in instructing individual students and staff in the use of equipment and computer software; troubleshoots problems with equipment and schedules service as necessary.
  6. May assist in the supervision of student assistants and adult volunteers as necessary.
  7. May assist in the health room as necessary.
  8. May manage special assignments as determined by the building administrator; performs related duties consistent with the employee assignment.

REPORTING RELATIONSHIP

Reports to Building Administrator.

WORKING CONDITIONS

Works in a school setting and office environment; frequent interruptions; daily and prolonged exposure to visual display terminal; may be required to sit or stand for prolonged periods; requires dexterity; requires ability to lift or carry up to 30 lbs; occasionally deals with upset parents students or staff.

MINIMUM QUALIFICATIONS

Education and Experience

High school graduation or equivalent with two or more years of office experience involving computer and record-keeping skills; experience working with adolescents and the public; school district work experience preferred.

Allowable Substitution

Training in computer operation secretarial procedures data entry and/or customer service may substitute on a month-to-month basis for one year of required office experience.

Knowledge Skills and Abilities

Knowledge of general secretarial procedures and library practices; knowledge of correct grammar spelling and English usage; ability to operate office equipment and computers; ability to maintain confidential information and records; ability to organize and set priorities; ability to work independently with minimal supervision; ability to read speak write and compute effectively; ability to exercise independent judgment remain flexible and work effectively under pressure; ability to interact with adolescents and parents in a warm caring and confident manner; ability to establish and maintain effective working relationships with staff and the public.

Licenses/Special Requirements

Ability to operate computers and learn specific software programs

SALARY: $34.83 - $39.97 hourly.Salary is based upon the current2025-26 NEOPA Salary Schedule Salary(Level F) (2026-27 School Year Salary Schedule is under review); placement on the salary schedule will be determined by Human Resources DOE. FLSA Non-Exempt. Steps 10 12 and 15 are longevity steps.

WORK YEAR: 195days per year 8.0 hours per day
