JOB GOAL:The Substitute Frontline & Benefit Time Coordinator is responsible for overseeing the districts substitute staffing systems managing employee absences and benefit time and ensuring efficient equitable coverage across all schools. This role is being redesigned to align with increased automation through Frontline improved operational efficiency and the expanded scope of the HR & Communications office. The Coordinator will work in direct partnership with Frontline to implement automation optimize workflows and ensure the system is used to its full capacity. The Substitute Frontline and Benefit Time Coordinator may be required to work per diem days over the summer to support the current substitute and Frontline transition. |
- Maintain hire and manage the district substitute pool
- Monitor substitute availability assignments and long-term placements
- Ensure equitable distribution of substitutes across all schools
- Analyze substitute usage trends and cost drivers
- Support development and implementation of building-based substitute models
- Serve as a primary district liaison with Frontline
- Lead implementation and optimization of automated substitute assignment features
- Maintain system accuracy data integrity and functionality
- Troubleshoot system issues in coordination with Frontline support
- Monitor system usage and ensure full utilization across schools
- Train staff on Frontline and updated workflows
- Oversee employee absences (paid and unpaid)
- Track and manage benefit time usage
- Ensure compliance with district policies contracts and procedures
- Coordinate closely with HR and Payroll
- Support staff with absence and benefit-related questions and requests
- Train school administrators and administrative assistants on systems and processes
- Provide ongoing in-person support to schools
- Develop and maintain clear procedures and guidance materials
- Communicate updates and changes across the district
- Conduct analysis of substitute usage and staffing trends
- Identify inefficiencies and recommend improvements
- Prepare reports for district leadership
- Support strategic decision-making related to staffing and operations
- Collaborate with HR Payroll and school leadership
- Support onboarding and employment verification for substitutes
- Maintain clear communication with staff and stakeholders
This position will work at Natick Public Schools Central Office with possible occasional/temporary remote work as approved by the supervisor.
- Regular presence in district schools and/or central office
- Direct support for school-based staff and administrators
- On-site training and implementation support
- Bachelors degree preferred or equivalent experience
- Experience with scheduling or workforce management systems (Frontline preferred)
- Strong organizational and data management skills
- Ability to analyze data and identify trends

- Experience in a school district or similar environment preferred
