Whatyoullbe doing
As aStudio Mangeryou will ensure the overall success of their respective Film and Media program.
In this role you will:
Client Management
Develop and maintain excellent relationships with regional center personnel (including the Regional Center Community Resource Specialist) individual service coordinators client care providers and other program managers aimed at generating program referrals determining program fit and ensuring accepted clients receive the highest level of care and instruction to meet their individual needs and goals.
Refer questions to Film and Media Director or other departments (i.e. Finance HR otherprogramsand/or Referrals) asdeterminednecessary andappropriate.
Client Referrals
Answer questions and provide information about the Film and Media program to regional center personnel individual service coordinators potentialclientsand/or client care providers including conducting studio tours as requested.
Organize and conduct Program outreach and marketing efforts communications and informational sessions at vendor fairs parent group meetings fifth year programs and otherplaces asdeemedappropriate togenerate interest in the Program.
Enter referrals received directly into OFAs client referral system.
Answer questions and provide information to OFAs Referral department for referrals made directly to the Studio Manager.
Client Intake
Determineclient eligibility and fit for the Program based not only on Program capacity but also on individual goals and the group learning setting to ensure both Program and client success.
Request and/or review client collateral and make the final decision about accepting clients into the Program with advice from the Film and Media Director when necessary.
In coordination withReferralDepartment ensure eligible clients are placed on the waiting list when necessary andappropriate.
For accepted clients schedule and hold initial Individual Service Plans (ISP) ensuring finalized ISP is in place and that goals areestablishedand communicated to Program instructors prior to client starting in Program.
Ensure clients and care providers understand program expectations including attendance and personal conduct requirements.
Request/confirm that clients have received authorization to receive services in the respective OFA Film and Media Program enter authorization data into the case management system and communicate authorization status to Finance team prior to client starting in Program.
Client Experience
Communicate promptly and professionally with care providers and/or clients when questions or concerns ariseregardingclientsexperience in the Program.
Schedule and hold semi-annual annual ISP meetings and Interdisciplinary Team meetings as needed.
Provide mentorship and advice to studio staff and/or directly intervene when client behavioral issues arise duringprogram. Communicate with clients and/or their care givers as needed and create behavior management plans for clients and instructors to follow as needed.
Review staff prepared Serious Incident Reports (SIRs) andsubmitto regional on mandated reporting duties when Adult Protective Services must be called and ensure documentation issubmittedwithin the requiredtimeframeto respective agencies.
Monitorand report client attendance at least on a weekly basis. Communicate with care providers and/or clients when attendance drops below what has been communicated as acceptable.
Review client case notes weekly to ensure they have been completed by staff properlyand timely.
Ensure quality of service delivery provided by direct reports via quality checks observation etc.
Develop and consistently provide communication avenues for keeping clientsinformedsuch as email updates newsletters etc.
Coordinate with Employment Services toidentifyand place Program clients into external paid or volunteer (when applicable).
Schedule staff to ensure proper ratios per program design.
Program Management
Reporting
Gather andsubmitdata and includes (but is not limited to)
Monthly safety drill reports to regional safety coordinator
Daily/Weekly data reports to Workforce Manager
Documents from program audits to Quality Assurance & Compliance Manager as requested
Daily/WeeklyTeamBridgeschedules
Monthly program billing to Finance department by billing due date
Annual budget information for budget planning
Budget
Manage program operations within established annual Program budget.
Participatein annual budget planning and advocate for Program needs.
Reconcile monthly credit card statements code expenditures andsubmitreceipts to finance.
Ensure that the Programs case management system is consistently up to date withaccurateservice authorization and billing data.
Identify recoup and close any outstanding aging accounts.
Consult with Director of Film & Media to secure major filmmaking equipment for productions as needed.
Program Compliance
Comply withall Quality Assurance activities including safety drills monthly/quarterly/annual reporting and a focus toward ongoing program improvement.
Manage regional center and other external entity audits providing relevant information and ensuring compliance in advance of audits.
Completeall assigned and/or mandatorytrainings.
Coaching and Mentoring
Determineneed conduct interviews following question guidelines plus one other staff and make final determinations on selected candidates.
Direct and supervise daily activities of direct reports.
Manage staff schedules ensuring all clients are served.
Coordinate with staff to create projects assignments and settings that areappropriate forthe clients needs.
Ensurenew staffareproperly trainedand mentored for success.
Ensure direct reportstimelyclock in and out. Film & Media Studio Manager
Create a cooperative environment between staff members and self; between staff and staff; between staff and clients.
Observe instruction and hold positive feedback sessions with staff.
Provide formal co-teaching opportunities for eachstaff.
Verify and approve timecards.
Ensure staffcomply withall mandatory trainings including (but not limited to) anti-harassmentnonviolentcrisis intervention CPR cybersecurity and mandated reporter trainings.
Ensure staff aretakingrest and meal breaks andapproveany missed breaks.
Conduct safety drills with staff.
Identifythe need foradditionaland/or external training of direct reports and ensure staff have the tools and skills to complete their tasks.
Ensure staffare trackingperformance and meet quarterly to review and adjust as needed to ensure success.
Prepare andsubmitpersonnel action forms.
Conduct regular staff meetings.
Audit for accuracy and compliance with policy and approve mileage and expense reimbursement requests for direct reports.
Consult with HR and/or cooperate with HRinitiatedinvestigations and make final termination/corrective actiondecisionregardingstaff.
Additionalduties as assigned.

Qualifications
Education
High school diploma or equivalent or GED
Experience
5 or moreyears experiencesupervising staff and managing a program/area
Experience with instructional strategies and developing natural supports includingstate-of-the-arttechniques.
Experience working with individuals with a variety of disabilities (Preferred).
Experience working in film or media (Preferred)
Experience working in a non-profit sector (Preferred)
Experience working in the field of IDD (Preferred)
Other Requirements
21 years of age or older
A valid drivers license reliable transportation and an acceptable driving record arerequiredfor this role.
This role requires travel within the region where services are provided.
Final candidates must successfully complete a background check.
Physical Demands & Work Environment
This position requires the employee to regularly stand walk sittalkandhear. The employee must be capable of writing using a computer keyboardtelephoneand related office equipment. Ability to lift 10lbs. required.
